Position Overview

We are seeking an Operations Specialist to join our team. This role supports the day-to-day operation workflows of the brand across all channels, while streamlining in areas of supply chain management, fulfillment, logistics, inventory control and planning. We’re looking for someone who brings initiative and collaboration, has a passion for strategic and creative problem solving, can execute with supreme detail, and has an instinct of curiosity and adaptability.

You’re comfortable thriving in a fast-paced environment that comes with creating impact from the ground up, and no task is too big or small to tackle. Being willing to roll up your sleeves and quick to adapt is key.

Responsibilities
  • Support in all aspects of operations and supply chain, driving efficiencies, reducing risks, and maximizing resources.
  • Manage the day-to-day workflow operations of all inbound customer orders, partnering with 3PL to ensure timely and accurate shipping.
  • Ensure retailer vendor compliance, shipping and routing guidelines are met, proactively flagging and resolving issues.
  • Coordinate end-to-end shipping logistics (UPS, DHL, Freight Forwarders), both domestic and international, including export/import documentation, troubleshooting, and timely delivery.
  • Manage inventory receipt, organization, and tracking at 3PL, warehouses, and international supply points; maintain accurate documentation and ERP updates.
  • Identify, recommend and implement solutions to optimize warehouse and logistics workflows and prevent errors or inefficiencies.
  • Assist in monitoring inventory levels for products, collateral, and supplies; flag discrepancies, aging, or out-of-stock risks.
  • Actively assisting and comprehending demand forecasts to apply to short and long-term fulfillment requirements.
  • Contribute to the development and implementation of efficient warehouse management processes for e-commerce, retail, and seasonal shipping.
  • Assist in analyzing suppliers, partners and 3PL performance to drive cost savings and operational improvements.
  • Ensure accurate tracking of stock levels and support efforts to optimize inventory flow.
  • Track costs associated with shipping, packing, storage, kitting, and other warehouse elements to identify cost-saving opportunities.
  • Lead execution of special shipping and packing requests with clear communication to internal teams and partners
  • Support system automation for all order, purchase order, shipping, and inventory transactions (Shopify, ERP, Cin7, WMS,EDI, Amazon Seller Central), troubleshooting errors and escalating critical issues.
  • Assisting in all supply chain production timelines and project management tracking key milestones for review and approval.
  • Support customer service inquiries, resolve issues, and manage reverse logistics as needed.
  • Maintain awareness of international trends and events affecting the global supply chain and related costs.
  • Assist in recording and flagging quality concerns, to support adherence to global and industry standards.
  • Demonstrate a proactive approach to problem-solving and a strong ability to work independently and as part of a team.
  • Maintain organized files and share essential information with relevant stakeholders to support seamless operations.
  • Perform additional tasks as needed to ensure the overall success of supply chain, operations and production.
Qualifications
  • 1-3 years of experience in beauty, operations, or supply chain.
  • 1-3 years of project management experience
  • Genuine passion for beauty and skincare
  • Startup energy with an entrepreneurial spark - you love building, not just maintaining.
  • Collaborative, open-minded, and thrive in a fast-paced, scrappy environment.
  • Strong attention to detail with excellent written and verbal communication skills
  • Tech savvy:
    Must be comfortable with Microsoft Word & Excel, Google Suite, ERPs, WMS, Shopify, EDI and retailer platforms.
  • Experience coordinating logistics, managing inventory, and optimizing processes.
  • Familiarity with warehouse management principles and global manufacturing/distribution.
  • Passionate about problem solving, driving efficiencies, reducing risks and doing more with less.
  • Data-driven: able to turn insights into actionable strategies.
  • Experience with full product life cycle from concept to launch, familiarity with formulas, raw materials, ingredients
  • May involve occasional 3PL partner visits for full end to end visibility
  • Must be flexible to work varying hours as needed, including production and 3PL schedules.
