OverviewThe Outbound Logistics & Wholesale Account Manager is responsible for the end-to-end coordination of wholesale order fulfillment, outbound logistics operations, and communication with global wholesale partners. This role works cross-functionally with Production, Finance, E-Commerce, and Wholesale to ensure accurate allocations, on-time deliveries, and optimized logistics performance across all 3PL partners.
Key Responsibilities Seasonal Preparation- Analyze and supply freight costs for costing in advance of market seasons
- Enter and verify all HTS codes in Style Manager
- Generate UPCs once styles are confirmed
- Coordinate warehouse transfers (both physical and virtual) to optimize inventory positioning across locations and fulfill wholesale orders from stock on hand
- Communicate shipping schedules to wholesale accounts to support timely routing
- Apply strategic logic to allocate and fulfill orders across all 3PL locations
- Coordinate all routing activities for wholesale partners shipping from Bergen US + Bergen NL
- Provide all necessary shipping documentation to facilitate smooth account routing and handoff
- Communicate shipping schedules to wholesale accounts to support timely routing
- Notify the Wholesale Director of any short ships, delays, or fulfillment risks
- Escalate to Wholesale Director when direct buyer communication is required
- Maintain strong communication and work efficiently to support operational excellence for internal teams, 3PLs, and wholesale partners
- Optimize freight costs and carrier selection
- Reconcile freight bills and import entries, ensuring timely handoff to Finance
- Ensure compliance with VAT regulations for all shipments through the Netherlands
- Notify team of 'preferential origin' documentation for EU-destined goods
- Monitor shipment tracking and maintain transparent communication regarding shipment progress
- Monitor and improve 3PL service levels using WMS/RLM data, partnering with Bergen and other logistics providers to drive continual SLA performance improvements
- Issue deposit invoices to wholesale accounts according to trade terms
- Issue pre-ship invoices to wholesale accounts according to trade terms
- Communicate with customers directly for payments
- Coordinate with Hilldun to manage credit approvals and disputes for factored accounts
- Prepare season-end summaries of total invoicing, credits, and discounts
- Prepare end-of-month inventory reports and collaborate with Finance on fulfillment status for invoicing, cash‑flow forecasting, and month-end needs

- 4-6 years of experience in logistics, operations, or supply chain with +4 years with luxury fashion or DTC brands
- Experience working with wholesale accounts, direct‑to‑consumer business models and 3PL providers
- Experience and knowledge of international shipping procedures, VAT regulations and international trade compliance (EU focus preferred)
- Understanding of HTS codes and customs documentation
- Experience with ERP systems, especially RLM, and WMS, especially Bergen Logistics
- Advanced Excel skills for analysis and reporting
- Exceptional attention to detail and meticulous approach to data management and process execution
- Strong analytical skills with ability to identify discrepancies and errors
- Ability to manage multiple priorities and meet deadlines in a fast‑paced environment
