Location: New York

Outten & Golden LLP is seeking a Legal Executive Assistant in our New York office. The ideal candidate will have a positive, proactive, service-oriented approach, the ability to work with a range of people, high attention to detail, and a thorough knowledge of all firm administrative processes, IT systems, and research tools.

Responsibilities
  • Maintain attorney calendar, schedule appointments and arrange travel.
  • Track potential clients and referrals.
  • Open and update matters in Filevine and Orion.
  • Track and file client documents and contact information.
  • Enter expense reimbursements and disbursement information into tracking software.
  • Process invoices.
  • Organize and maintain case files, including scanning and saving documents into Filevine.
  • Draft and edit letters, retainer agreements, and other basic legal documents.
  • Coordinate conferences and calls with clients and opposing counsel.
  • Conduct basic legal and internet research using Court Link, PACER, Bloomberg, and Westlaw.
  • Enter attorney time.
  • Assume other duties as necessary.
Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift up to 15 pounds at times.
Qualifications

The successful candidate will have a combination of employment, educational, and life experience that demonstrates the qualities and skills below:

  • Education and Experience: Minimum of 3 years in a law firm setting; proficiency in Microsoft Word, Excel, and PowerPoint.
  • Confidentiality: Adherence to firm policies regarding the protection of confidential data and sensitivity to confidential matters.
  • Clear Communication and Attention to Detail: Excellent written and oral communication, interpersonal skills, and a professional telephone manner; proactive status updates.
  • Flexibility and Organization: Versatile, responsive to shifting demands, team-focused, and able to balance tasks of varying urgency.
  • Ownership, Initiative, and Teamwork: Ownership of projects, proactive problem-solving, strong customer-service orientation, and ability to build relationships.
  • Mission Orientation: Enthusiasm for advocating for employee rights and purpose-driven work.
Compensation

Target base compensation of $51.00 per hour (non-exempt, 40 hours per week; ~ $106,000 annually) with a robust benefits package including healthcare.
