Job Title:
Payroll Manager for HVAC Group of Companies
Location: Remote (EST - New York time)
Employment Type: Full-time
Reports To: CFO / Controller
We are looking for an experienced and detail-oriented Payroll Manager to oversee and manage payroll operations across multiple companies. This role is responsible for ensuring accurate and timely weekly payroll processing for over 200 employees, including hourly technicians, salaried staff, and commissioned salespeople, using Paychex. The Payroll Manager will also support employee onboarding/offboarding, PTO accruals, and regular updates to compensation records.
KeyResponsibilities
- Weekly Payroll Processing
- Review and validate timesheets for approximately 150 hourly technicians across five companies.
- Process weekly payroll for ~50 salaried employees.
- Manage payroll for ~20 salespeople, including reconciling commission payouts against draws and sales performance.
- System Management & Employee Lifecycle
- Maintain and update employee records in Paychex, including new hire onboarding and terminations.
- Adjust pay rates and compensation details as needed.
- Ensure PTO accruals are tracked and applied accurately.
- Compliance & Reporting
- Ensure payroll processes comply with federal, state, and local laws and regulations.
- Collaborate with HR, Finance, and Operations to resolve discrepancies and maintain accurate employee compensation records.
- Prepare payroll-related reports and audits as required.
- 3+ years of experience in payroll processing, with at least 1 year in a lead or managerial role.
- Proficiency in Paychex or similar payroll software.
- Solid understanding of payroll laws, tax regulations, and best practices.
- Strong reconciliation skills, particularly with commission-based compensation.
- High attention to detail, integrity, and confidentiality.
- Proficiency in Excel or Google Sheets.
- Excellent communication and organizational skills.
- Experience managing payroll across multiple entities or business units.
- Background in industries with hourly field staff (e.g., construction, technical services).
- Familiarity with PTO policies and accrual methodologies.
