5 days on site, probably will have flexibility in the future. Monday
- Friday day shift. 9-5 for now with possibility of moving 10a-6p.

Note

Ideal candidate has a JD, might not be practicing. Masters would be ideal.

Duties
  • Ability to accurately create, edit, save and print documents using Microsoft Word and Excel.
  • Knowledgeable in PowerPoint and Access.
  • Works for Senior Level.
Summary Of Essential Duties And Responsibilities
  • The Special Assistant to the Senior Vice President of Human Resources and manages the overall transformation and process improvement of Human Resources services.
  • Establishing accountability and fostering a strategic approach to project management and process improvement, the Special Assistant serves on the senior management team assisting HR Business Partners, and team members on projects, initiatives, issues, events and activities.
General tasks and responsibilities will include
  • Participates in developing, establishing, implementing and recommending policies, practices, methods and procedures and programs designed to improve operations within Human Resources, developing administrative controls and reporting systems, and the application of related techniques and methods.
  • Conducts and participates in meetings as a representative the Senior Vice President of HR
  • Manages the agenda, attendance and materials for HR Council, Recruitment Council, and other major meetings and coordinates meeting participation, including Webex
  • Manages HR Governance agenda and materials, follow-up and facilitates meeting
  • Facilitates review and approval process of Managerial Annual Leave Buyout Requests by collaborating with SVP of HR and Payroll
  • Prepares and issues one-year anniversary messages to new employees
  • Assists with projects including but not limited to accretions, departmental reorganization, job description standardization, etc.
  • Develops and consolidates report of annual HR accomplishments
  • Compiles and distributes information from/to Chief Human Resources Officers/HR Directors
  • Compiles and prepares for presentation metrics and project outcomes
  • Assigns access and provides administrative oversite of HR Confidential Share Point
  • In the absence of the Senior Executive Secretary, coordinates coverage.
Process Improvement & Project Management
  • Identifies and strategically works through process improvement initiatives with key stakeholders
  • Project Manager for major HR initiatives; tracks all initiatives and manages Project Tracker(s)
  • Support and communicates updates related to HR & Payroll Governance; HR Governance; etc.
  • Ensures the timely completion of reports and all other requisite documentation
  • Participates in developing, establishing, implementing and recommending policies, practices, methods and
  • procedures and programs designed to improve operations within the major Corporate functional areas developing administrative controls and reporting systems, and workflows.
  • Participate in the ongoing development of standard work, visual management tools, assessment and development of best practices
  • Provide consultation to leadership to support improvement, change management, and problem solving.
Policy & Procedure Management
  • Tracks draft policies and procedures
  • Researches background for procedure development
  • Facilitates the authorization of policies and procedures with key stakeholders.
Educational Level
  • Undergraduate degree in Business, HR or related field
  • Advanced degree preferred
Years of Experience
  • 5+ years in a similar role providing high level administrative and project management support to an executive, preferably within Human Resources or Organizational Development.
Knowledge, Skills, Abilities and other Requirements
  • Microsoft Office (Excel, Word, PowerPoint, Outlook, Visio)
