HR Specialist (Finance)

Overview

The HR Specialist serves as a front‑line member of the Human Resources team, supporting all employees across the Company with a strong focus on new hire onboarding, employee inquiries via AskHR (Zendesk), and day‑to‑day HRIS administration. This role ensures a consistent, accurate, and positive employee experience from hire through the first 90 days of employment and beyond and on‑site presence 5 days a week is required.

Responsibilities
  • Onboarding & New Hire Experience

    Coordinate and administer end‑to‑end onboarding for new hires and serve as the primary point of contact during the first 30‑90 days.

    Support and (from time to time) conduct the New Hire Orientations in English and Spanish as needed across HQ and branches.

    Maintain onboarding templates, checklists, schedules, communications, metrics and flag risks (missed milestones, incomplete paperwork, delayed system access).

  • Request‑to‑Hire & System Processing

    Manage and process Request‑to‑Hire workflows in UKG Ready, ensuring accurate job data, position details, approvals and requisition configuration.

    Partner with Recruiting and HRIS to ensure all hiring requests are aligned with org structure, budgeted roles, accurate job codes, pay grades, and cost centers.

    Validate data accuracy throughout the pre‑hire and hire processes to prevent downstream system errors.

    Perform day‑to‑day HRIS data entry and maintenance, including new hires, job changes, transfers and terminations.

    Support reporting requests and routine audits related to onboarding, headcount, and employee status changes.

    Partner with Payroll to ensure employee data aligns with pay, job codes and timekeeping requirements.

  • Pre‑Hire Compliance & Documentation

    Coordinate all pre‑hire steps including background checks, paperwork, I‑9 verification, and system setup.

    Ensure onboarding procedures comply with multi‑state requirements (e.g., notices, acknowledgments, wage statements).

  • AskHR / Employee Support

    Serve as primary administrator and responder for the AskHR ticketing system.

    Respond to employee inquiries related to HR policies, benefits enrollment timing, pay, timekeeping, leaves and general HR processes.

    Triage and esc‑alate complex cases to People Operations Partners, Benefits, Payroll, or Legal/Compliance as appropriate.

    Ensure timely responses aligned with service‑level expectations.

    Identify trends in inquiries and recommend improvements to FAQs.

Qualifications

Bachelor’s degree preferred.

  • 2‑4 years of Human Resources or onboarding experience; UKG Ready experience strongly preferred.
  • Excellent communication, organizational and detail‑orientation skills.
  • Customer‑service mindset with the ability to handle sensitive information professionally and confidentially.
  • Bilingual in English and Spanish (verbal and written) required.
