Position: Talent Administrative Coordinator The Legal Aid Society Justice in Every Borough
Location: New York

The Talent Administrative Coordinator will be supporting the organization’s talent management efforts. The coordinator will be providing essential administrative support, including maintaining the Applicant Tracking System (ATS) for the recruiting team, drafting offer letters, posting job announcements on internal/external job boards, submitting invoices and troubleshooting system related issues.

The Talent Administrative Coordinator reports directly to the Director of Talent Acquisition.

ESSENTIAL DUTIES/RESPONSIBILITIES
  • Job Postings and Offer Letters
    • Support the Talent process by posting job announcements on internal and external job boards.
    • Process offer letters for all positions.
    • Administrative management – tracking, reporting and job boards.
  • Maintain the Applicant Tracking System (ATS)
    • Ensure all candidate information is accurately documented.
    • Maintain ATS user access permissions and roles; troubleshoot system-related issues.
    • Resolve and troubleshoot applicant questions via the talent acquisition job posting inbox.
    • Liaise with external partners and job boards for support and upgrades.
    • Submit purchasing requests/requisitions through the web portal and support tracking of expenditures across talent.
  • Support Temporary Hires
    • Assist temporary staff hiring process with staffing agencies and hiring managers.
  • Talent Support and Training
    • Provide administrative support to the Talent department, including preparing reports and working with HR Data and Operations to maintain talent acquisition metrics.
    • Facilitate staff training to Talent Acquisition Specialists, hiring managers, and other users on how to utilize the ATS.
    • Maintain Talent SharePoint site and update records and documentation in One Drive.
  • Professional Development and Other Duties
    • Participate in continuous professional development.
    • Learn about bias in the workplace and demonstrate affirmative behaviors supporting an inclusive work environment.
    • Other duties as assigned.
