The Scheduling Coordinator plays a critical role in the daily operations of Integra Vascular by serving as the central point of coordination between our clinical teams, patient facilities, and internal departments. This position is responsible for creating and managing daily schedules for our mobile clinical teams, ensuring efficient allocation of provider resources, and maintaining clear communication between all stakeholders.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced healthcare environment that requires accuracy, professionalism, and proactive problem-solving.
Key Responsibilities- Create and manage daily schedules for mobile clinical teams, ensuring optimal coverage across assigned facilities.
- Coordinate patient admissions and scheduling in accordance with company standards and clinical priorities.
- Act as the primary point of contact between Integra Vascular, partner facilities, and patients for scheduling and coordination matters.
- Ensure all required demographic, clinical, financial, and referral information is accurately collected, verified, and documented.
- Communicate schedule updates, patient lists, and logistical details to field-based providers, clinical assistants, and facility representatives.
- Collaborate inter-departmentally with Operations, Clinical, and Administrative teams to ensure smooth day-to-day execution and timely issue resolution.
- Review completed visit data daily, follow up with facility staff as necessary, and ensure accurate reporting of patients seen and care delivered.
- Maintain compliance with HIPAA, company policies, and facility standards while promoting a professional, service-oriented environment.
Required:
- Proven experience in patient scheduling, admissions, or healthcare coordination.
- Strong proficiency in Electronic Medical Records (EMR) systems and general office software (e.g., Microsoft Office Suite).
- Excellent written and verbal communication skills.
- Professional and courteous telephone and email etiquette.
- Ability to prioritize, multitask, and manage time efficiently in a fast-paced environment.
- Demonstrated ability to work collaboratively across departments and maintain positive relationships with clinical and administrative staff.
- Self-motivated, detail-oriented, and capable of working both independently and as part of a team.
Preferred:
- Experience with PACS systems or advanced EMR platforms.
- Prior experience in a multi-site healthcare organization or mobile medical service.
- Bachelor’s Degree in Healthcare Administration, Business, or a related field (preferred; high school diploma or equivalent required).
- Commitment to ongoing professional growth and adherence to compliance standards (must not appear on the OIG exclusion list).
