Job Description: Quality Assurance and Clinical Support Specialist – Department of Anesthesiology

Overview
This role supports quality assurance, clinical operations, and educational initiatives within the Department of Anesthesiology. The position involves data monitoring, incident reporting, administrative functions, educational initiatives, policy management, and collaboration across departments and partner institutions. Maintain patient confidentiality and HIPAA compliance while contributing to quality improvement projects and provider education.
Responsibilities- Data Monitoring & Interpretation
- Perform daily evaluations of anesthesia cases from the previous day and compile quality metrics for short- and long-term reporting (daily, monthly, yearly).
- Detect emerging trends in clinical quality indicators and alert the Quality Assurance Chair when concerns arise (e.g., increased use of general anesthesia, eye trauma, repeat intubations, drug administration errors).
- Produce routine reports on urgent intubations to identify patterns and assess clinician workload, especially during peak periods.
- Gather and analyze statistical data related to operating rooms and satellite procedural areas for monthly summaries.
- Share collected data with local site leaders to aid internal reporting and leadership briefs.
- Monitor ICU-related infection data (e.g., CLABSI) and provide updates to the QA team on progress or issues.
- Quality & Incident Reporting
- Compile monthly reports with key performance indicators, clinical case reviews, incident documentation, root cause analysis summaries, and mortality figures.
- Conduct follow-up reviews of corrective actions where care did not meet standards and submit analyses to QA teams.
- Assist in preparing the Department Chair’s annual Board of Trustees presentation with data and written content.
- Escalate unexpected clinical occurrences to the QA Chair for investigation.
- Track dental trauma incidents, arrange assessments, and prepare reimbursement documentation after review.
- Draft semiannual faculty performance evaluations with detailed case audits for newly appointed staff.
- Administrative Functions – Quality Assurance
- Respond to internal patient safety notifications, ensuring routing and documentation of follow-up actions.
- Assign electronic QA reviews in coordination with QA faculty and ensure timely completion.
- Organize monthly QA meetings, develop agendas, document minutes, and prepare slide presentations.
- Serve as liaison among QA, patient relations, and clinical departments to address concerns, patient feedback, and incident reports.
- Lead departmental quality improvement projects (e.g., monitoring for corneal injuries, glucose control in cardiac ORs, early NGT placement).
- Participate in internal reviews and root cause analyses for anesthesia-related events.
- Maintain confidentiality of patient data and provider performance at all times.
- Administrative Functions – Clinical Operations Support
- Partner with Pharmacy to address medication shortages, formulary changes, and drug safety updates for clinical staff.
- Coordinate with Clinical Director on off-site anesthesia coverage and patients with complex allergies.
- Guide staff on challenging clinical situations, including patient injuries and handling of medical record requests.
- Serve as a resource for faculty on clinical practice concerns, especially in sensitive or high-stakes situations.
- Provide urgent updates to providers regarding procedures, policy changes, and resource availability.
- Coordinate interdisciplinary initiatives (e.g., stroke documentation) with surgery, neurology, and nursing.
- Attend departmental reviews, morbidity and mortality meetings, and safety-focused perioperative projects.
- Maintain current professional licenses and required trainings.
- Educational Initiatives
- Design and circulate monthly continuing education materials (Sept–June) using literature reviews and expert collaboration.
