The Closing Coordinator’s primary responsibility is to review closing packages and notify parties of any missing documents or other issues that must be dealt with before the closing can be finalized. The ideal candidate should possess excellent communication skills, the ability to manage multiple priorities to meet deadlines and closing dates. Must be a proactive self-starter with efficient time management, attention to detail, prioritization, and multitasking skills.

Key Responsibilities:
  • Manages daily pipeline for loan assignment & rush priorities.
  • Reviews all contracts and paperwork with contracts for accuracy and compliance.
  • Reviews and approve all title work utilizing the state specific checklist. Continue to follow-up until necessary docs are received.
  • Reviews the following documents for accuracy:
    Title invoices and/or prelim CD’s, realtor invoices, HOI, payoffs, and purchase agreements (confirm seller concessions, etc.).
  • Completes all information in File Contacts (requirements vary per file type).
  • Reviews the loan in LOS to verify compliance with all closing and funding requirements, including, but not limited to data entry.
  • Competently reviews loan files closing conditions to ensure all conditions are cleared and a closing can be scheduled.
  • Addresses any issues that may arise, in a timely manner to ensure a smooth closing process.
  • Communicates progress and provide status updates to all relevant parties.
  • Assists with late changes to loan terms, loan amount, interest rate, etc. Will communicate with the necessary team members to make sure the changes have been made and approved accordingly so the closer can finalize the closing documents.
  • Acts as a liaison between sales and operations staff as well as attorney’s and/or title companies throughout the closing process up to and including receipt of fully executed closing package.
  • Verifies closing package was executed fully in addition to verifying any additional documents requested to be signed at closing by underwriting have been executed & returned. Scans complete package into LOS system. Ships original note & allonge to warehouse.
  • Performs other mortgage loan support and/or clerical duties as assigned by the department manager.
Preferred Qualifications:
  • 1-2 years of relevant industry experience.
  • Strong organizational and planning skills, with the ability to prioritize tasks and manage time efficiently.
  • Attention to detail with a thorough approach to documentation and record-keeping.
