Aboutthe Role
We’re seeking a detail-oriented and highly knowledgeable Payroll & Tax Specialist to join our Finance team. This role is responsible for managing all aspects of payroll processing and tax compliance across multiple states. The ideal candidate has a strong understanding of payroll systems, multi-state tax regulations, and thrives in a dynamic, fast-paced environment.
This position is critical to ensuring our people are paid accurately and on time - while maintaining compliance with federal, state, and local tax laws. You’ll be a key partner to HR, Finance, and Accounting teams, continuously improving payroll processes and supporting a culture of operational excellence.
Responsibilities:- Process semi-monthly multi-state payroll accurately and timely for exempt and non-exempt employees.
- Ensure tax compliance for all jurisdictions including filing, reporting, and reconciliation of payroll taxes.
- Administer employee benefits related to payroll, including health insurance, retirement plans, and other voluntary deductions.
- Set up new state payroll entities and manage registration processes as the company expands into new markets.
- Maintain employee payroll records and ensure data integrity within ADP Workforce Now and Net Suite.
- Reconcile payroll reports and general ledger accounts; support month-end and year-end close processes.
- Respond to and resolve payroll inquiries, discrepancies, and audits in a professional and timely manner.
- Partner with HR and Finance to ensure seamless data flow between systems and accurate reporting.
- Prepare and submit quarterly and annual payroll tax filings, W-2s, and other required documentation.
- Stay current with changes in payroll laws, tax regulations, and system updates, recommending process improvements to enhance efficiency and compliance.

- Minimum 5 years of hands-on experience processing multi-state payroll and taxes.
- Strong working knowledge of ADP Workforce Now and Net Suite required.
- Solid understanding of federal and state wage and hour laws, tax compliance, and reporting requirements.
- Preferred certifications: FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional).
- High attention to detail, strong analytical skills, and ability to manage confidential data with integrity.
- Excellent communication and problem-solving skills; collaborative mindset.
