Pyramid Consulting Group partners with the world’s most prestigious fashion and beauty retailers on temp, temp to perm, and permanent positions. We’re looking for an Event Staffing Coordinator to own the full recruitment lifecycle for temporary and project-based staff supporting experiential activations, retail pop-ups, brand ambassador programs, guest services, and long‑term workforce solutions, with a strong focus on quality, retention, redeployment, and program success.

This individual is responsible for identifying, onboarding, coaching, and deploying top talent while partnering closely with leadership, clients, and on‑site Team Leads to ensure a seamless, white‑glove staffing experience.

Job Responsibilities Talent Sourcing, Recruitment & Deployment
  • Source, screen, and interview candidates across event, retail, hospitality, guest experience, and brand ambassador roles.
  • Utilize Bullhorn ATS, staffing platforms, social media, referrals, and PCG’s proprietary talent database.
  • Build and maintain pipelines for recurring programs, national tours, and high‑volume activations.
  • Prepare client‑ready submissions aligned to brand and role standards.
  • Staff roles across experiential activations, luxury retail pop‑ups, guest services programs, brand ambassador teams, and on‑site leadership.
  • Manage scheduling, confirmations, and pre‑event communication; ensure all staff are compliant, briefed, and client‑ready.
  • Work with the VP of Event Staffing and account teams to align on program goals and staffing strategy.
  • Provide ongoing reporting on staffing progress, fulfillment insights, and talent quality.
  • Support white‑glove service delivery through proactive communication, problem‑solving, and on‑site alignment.
  • Manage vendor onboarding, agreements, systems implementation, and documentation.
  • Contribute to a reliable, well‑prepared workforce that reflects positively in client feedback.
Job Requirements
  • 2+ years in staffing, recruitment, experiential/event workforce management, or high‑volume environments.
  • Preferred background in experiential marketing, events, hospitality, retail, or guest services staffing; agency experience is a plus.
  • Experience with ATS systems, scheduling/time‑keeping platforms, Microsoft Office, or Google Workspace.
  • Strong communication and relationship‑building abilities.
  • Excellent organizational and time‑management skills.
  • Ability to manage multiple programs and competing deadlines.
  • Solutions‑oriented mindset with urgency and accountability.
  • Passion for people, live events, and brand representation.
