Job Description

Administrators are essential members of the team who ensure that the academic operations run to a high standard throughout the summer programme. They help coordinate morning and afternoon lessons for the students across a number of sites.

Key Responsibilities
  • Student Safety: Assist in maintaining a positive and consistent presence on and off campus, contributing to the broader safety strategy.
  • Support the management of student records, attendance, and absences, ensuring accuracy and timeliness.

    Act as an approachable and confident figure when interacting with students, reporting challenges responsibly to the Campus Leadership Team.
  • Respond promptly to communications from parents, providing support and information as needed.
  • Collaborate where needed closely with the site conference team to successfully communicate key information and messaging.

    Experience:

    Support the staff team by providing necessary information and equipment for the successful execution of their roles.
  • Assist in the planning and executing a professional and efficient welcome, programme, graduation, and departure for all students on campus.
  • Anticipate and communicate effectively to limit last-minute changes to the timetable and inform all relevant parties.
  • Collaboration and Leadership: Work closely with the Programme Coordinator and Programme Director, wider staff team, and Head Office to ensure effective communication and collaboration.
  • Support the Programme Coordinator in facilitating an effective setup and close down of the campus, serving as a liaison for procurement and logistics.
  • Administration, Systems and Compliance: Take a proactive approach by organising and preparing documentation for the summer program, including printing and scanning.
  • Manage both manual and electronic records and information systems, ensuring up-to-date information throughout the summer program.
  • Record attendance of staff and students on relevant systems, raising any concerns to the senior leadership team.
  • Record meeting minutes and take accountability for outstanding actions to minimise the impact on the delivery of the summer program.
  • Provide excellent customer service through various channels, including telephone calls, emails, and in-person interactions, effectively communicating with internal and external teams and individuals.

Position Details
  • Based at summer site at Barnard College, Columbia University.
  • You will usually be required to work 40 hours per week across 5 days, on an either fixed or rolling rota. Flexibility is essential.
  • Our courses run in sessions of 2 weeks in June and July, with a training week before the sessions
  • Mandatory training and campus setup before student arrivals (3-4 days during the week prior to the sessions) and additional online training will commence the month before.
  • Salary: $20-$22 hourly rate (depending on prior experience).
Session Dates
  • Session 1:
    June 28th – July 11th
  • Session 2:
    July 12th – July 25th
Essential Qualifications / Experience
  • University Degree.
  • High level of IT proficiency.
  • Experience of academic or office administration.
  • Ability to work under pressure in a busy environment with multiple demands on time.
  • Excellent organisational and communication skills.
Desirable Experience
  • Understanding of the compliance needs and requirements in the State of the host University.
  • Familiarity or in depth understanding of the host university.
  • Knowledge of the international education industry and how residential courses operate.
  • Understanding of safeguarding policies and procedures.
  • Knowledge of database management or student information systems.
  • Multilingualism.
