Job Overview

The Administrative Assistant for Clinical Education supports the Director of Clinical Education (DCE) in the efficient functioning, administrative organization, and continual improvement of the clinical education program. This position is housed within the Department of Physical Therapy at Touro University's School of Health Sciences, and will include administrative duties related to the Doctor of Physical Therapy (DPT) program, as directed by the DPT Program Director and Chair.

Regular communication and collaboration with clinical education counterparts in the DPT program on the Long Island Campus is required.

Responsibilities
  • Maintain a current database of clinics with contracts, including contract dates, site details, and instructor information.
  • Identify expiring contracts and collaborate with clinical site personnel and Touro staff to ensure timely renewals.
  • Oversee the process of establishing new contracts with clinical sites.
  • Correspond with clinics regarding all aspects of student clinicals, from requesting and confirming availability to scheduling experiences and preparing necessary paperwork.
  • Prepare Appreciation Awards and CEU certificates and mail them to clinical sites.
  • Correspond with students via email, phone, or in person for all matters related to Clinical Education.
  • Collect all student forms and maintain current files for each student.
  • Organize students’ clinical assignments within the database and maintain a record of all past clinical experiences.
  • Provide support to students as they navigate the clinical education process to ensure deadlines and requirements are met.
  • Coordinate clinic site visit appointments and distribute clinic information to faculty assigned to each site.
  • Ensure that clinical instructors and students complete and submit their Clinical Performance Instruments (CPIs) in a timely manner, following up with those who did not submit.
  • Coordinate the annual Clinical Education course (CCIP) and Clinical Education advisory meeting.
  • Prepare clinical education data reports for the Annual Accreditation Report (AAR).
  • Gather, enter, and report any relevant data related to clinical education as required by the Department Director, Chair, and DCE.
  • Prepare handouts for and assist the DCE with student clinical education seminars and professional development courses.
  • Update the Clinical Education manual yearly/regularly and as needed under the guidance of the DCE.
  • Assist the DCE with all tasks related to clinical education and other events within the DPT Program such as ordering food, reserving rooms, and coordinating IT needs.
  • Proctor student examinations.
  • Utilize the online system for purchasing equipment, food, or promotional materials.
  • Attend all scheduled meetings with the Long Island Clinical Education team.
  • Communicate with the Long Island Clinical Education team via email, phone, and Zoom as needed to achieve departmental goals.
Qualifications
  • Prior administrative experience required. High school diploma/GED equivalent required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills, ability to multi‑task, excellent time management, attention to detail, and workflow optimization.
  • Ability to learn and use clinical education placement management software (EXXAT).
  • Excellent interpersonal and communication skills, both oral and written.
  • Positive relationship‑building with students, faculty, and colleagues.
  • Initiative and cooperative work ethic with open communication.
Travel
  • Travel to the Long Island campus or graduation ceremony may be required once or twice a year.

Salary

Maximum Salary: USD 54,000.00 per year

Minimum Salary: USD 43,200.00 per year
