The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

The Academic and Student Affairs Advisor supports the Industrial Engineering & Operations Research ?

IEOR? Department?s academic, student affairs, and graduate admissions operations. The role provides comprehensive support to undergraduate and graduate students (BS, MS, and PhD), including student records management, OPT/CPT processing, advising support, and coordination of graduation clearances and awards. The Advisor also assists with graduate admissions by communicating with prospective applicants, supporting application processing, and contributing to recruitment and yield activities for MS and PhD programs.

In addition, the position supports departmental administrative and operational functions, including front desk coverage, special events, and web/technology support. The role reports to the Director of Academic and Student Affairs and may co-supervise seasonal interns.

Responsibilities
  • Academic and Student Affairs (60%):

    Coordinate student on-boarding activities including admissions yield, orientation, and academic advising. Conduct advising town halls for students; includes combined plan students and registration advising every term.

    Coordinate advising sessions, town halls and related program seminars

    Maintain student database of advising notes, advisor assignments, and related documentation

    Host open office hours to assist students with academic and student related inquiries; address student inquiries in a timely manner, elevate urgent issues to Director

    Conduct midterm and end-of-semester grade reviews and related monitoring of our BS and MS students; elevate students in danger of failing to Departmental leadership

    Process OPT/CPT requests, assist students with maintaining visa status (F1 and J1)

    Oversee the graduation clearances of students; support the graduation clearances of MS students

    Coordinate the nomination and presentation of BS and MS graduation awards

    Assist (if needed) with scheduling classes (fall, spring and summer), request/obtain the necessary support resources including classrooms, exams, technology, exam proctoring services

    Serve as Departmental Liaison for University level offices, such as Office of Disability Services, Counseling and Psychological Services, International Students and Scholars Office, Graduate Student Affairs, Center for Student Advising, etc.

    Distribute academic/student affairs related correspondence to students

    Monitor and respond to emails sent to the Departmental email addresses: infoumbia.edu, admitumbia.edu, formsumbia.edu, advisingumbia.edu

    Support the editing/publishing of Departmental bulletin

  • Graduate Admissions (25%):

    Address prospective student inquiries in a timely manner, elevate urgent issues to Senior Associate Director and Director in the Academic Team

    Support the editing of Departmental website as it relates to graduate admissions

    Support yield activities to converge to the predetermined class size, including open house

    Coordinate nominations and selection of student ambassadors, hiring, onboard, train student ambassadors, and approve timesheets with support from the academic coordinators.

  • Administrative and Operations (10%):

    Monitor front desk reception area to timely direct student and visitor traffic

    Assist with various Departmental large-scale events

    Web/technology support (i.e. maintain the student database, website and School related systems, such as COI, Vergil, Slate, Canvas, SSOL and reporting functions).

  • Other related duties, as assigned (5%)

Minimum Qualifications
  • A bachelor degree or its equivalent experience required; graduate level work is preferred. Minimum of 2-4 years of student/academic affairs and admissions experience required, with an ability to identify and analyze trends in the academic/admissions process.

  • Familiar and appreciate student and academic affairs, departmental program curriculum and requirements, and web management and administration.

  • Strong computer literacy/proficiency required: an understanding and appreciation of student services database software and on-line resources, and the willingness to respond to the needs of prospective and current students and faculty in a technologically-oriented society. Proficiency with Google suite of products, MS office, publishing software, etc.

  • Ability to work independently and under pressure, with a high level of attention to detail. Must be able to prioritize multiple tasks with minimal supervision.
