POSITION SUMMARY

The Client Services Representative plays a vital role in shaping the client experience at Company
3. Acting as a frontline ambassador, this individual ensures every interaction, from a morning coffee setup to high-touch event coordination, reflects the company’s commitment to thoughtful, elevated hospitality.

In this fast-paced, creative environment, the ideal candidate is highly organized, adaptable, and service-driven, with an eye for detail and a passion for creating memorable moments. Whether supporting daily operations or planning special events, the Client Service Representative brings warmth, professionalism, and a proactive mindset to every aspect of the role.

MAIN DUTIES

As a Client Services Representative, you will be responsible for delivering an exceptional client experience across all touchpoints. You will create a warm, welcoming environment by anticipating client needs and delivering attentive, polished service at all times. You will set up and maintain daily amenities, including coffee stations, breakfast offerings, snacks, and beverages throughout the office. You will ensure cleanliness and organization of all client-facing areas, including kitchens, lounges, and shared spaces.

Your day-to-day responsibilities will also include:

  • Manage inventory and ordering of food, beverages, supplies, and hospitality items while staying within budget.
  • Plan and execute internal events such as weekly client happy hours, office-wide treats, and special seasonal experiences.
  • Coordinate and celebrate employee milestones, including birthdays, holidays, and team celebrations.
  • Oversee all stages of client service during sessions, from greeting guests to ordering meals, preparing refreshments, and fulfilling on-the-spot requests.
  • Collaborate with the Client Services and Operations teams to improve workflows, enhance service offerings, and support larger company events.
  • Coordinate client gifts and reservations, ensuring thoughtful touches that align with the company’s brand and service standards.
  • Assist with setting up for parties and events and have schedule flexibility on event days.
  • Assist with Front Desk coverage and other administrative or office support functions as needed.
  • Run occasional errands to support client services or team needs.
  • Support special projects and perform other duties as assigned by management.

They will bring a strong understanding of service excellence and a genuine passion for creating positive, memorable client experiences. They will bring a proven ability to multitask, prioritize effectively, and remain composed under pressure. They will also bring the following:

  • Self-starter with a proactive mindset, strong organizational skills, and keen attention to detail.
  • Polished communication skills, with the ability to engage confidently and professionally with clients, executives, and colleagues.
  • Ability to exercise sound judgment, maintain discretion, and adapt quickly to shifting needs and priorities.
  • Creative eye for presentation and an appreciation for aesthetics in hospitality settings.
  • Collaborative team player with a positive attitude and willingness to support wherever needed.
  • Experience supporting high-end clients or VIPs in hospitality, events, or creative industries.
  • A strong personal sense of hospitality and interest in curating thoughtful, elevated experiences.
  • Prior experience using an espresso machine and preparing espresso-based drinks.
  • A creative eye for detail, whether in food presentation, event setup, or environment design.
  • Familiarity with coordinating in-office celebrations, happy hours, or team-building events.
  • Enthusiasm for working in a collaborative, fast-moving team environment.
  • A sense of humor and a calm, can-do attitude when juggling multiple priorities.
  • Comfortable working flexible hours, including evenings, weekends, and holidays, as needed.
  • Interest in film and/or hospitality.
