Peter Callahan Productions & Food Experiences is seeking an organized and creative Event Producer & Assistant Operations Manager to support the sales, design, and execution of high-end events.

This role works closely with a small team and is involved in every stage of event production—from responding to client inquiries and developing creative event concepts to coordinating logistics and supporting event execution.

This is an excellent opportunity for someone who enjoys combining creative thinking, client communication, and operational organization in a fast-paced environment.

Responsibilities
  • Respond to incoming event inquiries and assist with the early stages of the sales process
  • Prepare proposals, budgets, and scope of work documents for prospective clients
  • Participate in client calls and meetings to understand event goals and requirements
  • Track and manage incoming leads and assist in converting inquiries into confirmed events
Creative Event Development
  • Assist with the creative development of events including floor plans, layouts, and guest flow
  • Occasionally Contribute to menu design and presentation concepts in collaboration with the culinary team
  • Develop timelines and logistical plans that translate client vision into a workable event plan
  • Occasionally Contribute ideas for event aesthetics and guest experience
  • You will be using a laser cutter and Cricut machine for the production of select event materials
Event Production & Logistics
  • Coordinate event timelines, vendors, and logistical details
  • Track event planning progress across multiple projects simultaneously
  • Ensure all key details are documented and communicated clearly across the team and to clients
  • Support preparation for upcoming events and assist with onsite execution
  • Communicate with venues, vendors, and production partners
  • Ensure all logistical details are organized and documented
  • Assist in coordinating schedules and preparation across internal and external teams
Internal Operations
  • Support day-to-day operational needs of the company
  • Maintain internal planning documents, event files, and client records
  • Track project timelines and ensure deadlines are met
  • Assist with various administrative and coordination tasks as needed

Responsibilities are subject to change depending on active event needs depending on our event schedule.

Qualifications
  • Bachelor’s degree or 2–3 years of related experience in events, hospitality, marketing, or project coordination preferred
  • Highly organized with strong attention to detail
  • Excellent communication and interpersonal skills
  • Comfortable communicating with clients and contributing to proposals and presentations
  • Ability to manage multiple projects in a fast-paced environment
  • Creative mindset with an interest in event design and guest experience
  • Proficiency in Adobe illustrator, Adobe Photoshop, Adobe Premiere Pro, Microsoft Excel, Microsoft Word, Microsoft Outlook, with understanding of Microsoft Admin center, and Canva.
  • Proficiency in touch typing (two handed typing)
  • Basic understanding of A/V and related systems, for example turning on an Epson projector and connecting it to an Apple TV, turning on a microphone system and checking power.
Ideal Candidate

The ideal candidate enjoys working across both creative and operational aspects of event production. This role requires a proactive mindset, strong organizational skills, and the ability to keep many moving parts running smoothly while helping bring creative event concepts to life. This position comes with an understanding that during peak season irregular working hours may be required. You may also be asked to assist the team during events.

This is a fully on-site role requiring to be in-office and at events.
