Logistics & Procurement Coordinator Overview
ADDA is partnering with a lead IT MSP in the New York area. The Logistics & Procurement Coordinator supports the day-to-day operations of hardware purchasing, inventory coordination, and equipment logistics for client deployments and internal needs.
This role works closely with the Procurement Manager and technical teams to ensure hardware orders are placed accurately, shipments are received and tracked, and equipment is properly staged and deployed. The Logistics & Procurement Coordinator plays a key role in maintaining organized inventory, coordinating vendor orders, and ensuring equipment moves efficiently through the procurement and delivery process.
This position is ideal for someone who is highly organized, detail-oriented, and comfortable working in both a warehouse and operational environment, supporting the physical movement of hardware while coordinating purchasing and vendor communication.
Key Responsibilities Procurement & Order Coordination- Process hardware and technology orders through approved vendors and distributors.
- Coordinate purchasing activities including order placement, confirmations, and shipment tracking.
- Assist with gathering vendor quotes and checking product availability.
- Maintain accurate entry of product SKUs, pricing, and order information.
- Track purchase orders and delivery timelines to ensure timely fulfillment of client and internal orders.
- Help ensure hardware purchases align with approved project scopes and internal requests.
- Communicate with vendors and distributors to confirm availability, pricing, and delivery timelines.
- Follow up on order confirmations, backorders, and shipment updates.
- Assist in resolving order discrepancies or shipping issues with vendors.
- Maintain organized records of vendor contacts and purchasing information.
- Receive incoming hardware shipments and verify items against purchase orders.
- Prepare and stage equipment for client deployments and internal use.
- Coordinate packaging and shipping of equipment to client locations or project sites.
- Track equipment shipments, deliveries, and returns.
- Maintain organized storage areas and assist with inventory tracking.
- Support hardware lifecycle processes including staging, deployment preparation, warranty tracking, and RMA processing.
- Assist with maintaining accurate asset and inventory records across storage and staging locations.
- Maintain accurate product catalog information including SKUs, pricing, and product descriptions.
- Ensure procurement records, order confirmations, and shipment details are documented properly.
- Support updates to procurement documentation and internal purchasing workflows.
- Maintain organized records of purchasing activity and equipment tracking.
- Maintain records of purchasing activity, receipts, and order confirmations.
- Assist with documentation needed for billing validation and expense reconciliation.
- Support Finance with procurement documentation when needed for project or client billing.
- Work closely with technical teams, project managers, and operations staff to support hardware needs for client projects.
- Provide updates on order status, shipping timelines, and potential delays.
- Assist internal teams with order tracking, inventory availability, and vendor coordination.
- 2–4 years of experience in logistics, procurement, warehouse operations, purchasing, or supply chain support.
- Experience working with hardware purchasing or technology vendors preferred.
- Familiarity with order tracking, inventory coordination, and vendor communication.
- Strong organizational skills and attention to detail.
- Ability to manage multiple orders, shipments, and requests simultaneously.
- Proficiency with spreadsheets (Excel or Google Sheets).
- Experience with inventory systems, PSA tools, or quoting platforms is a plus.
- Strong communication skills when working with vendors and internal teams.
- Experience working with technology distributors such as Ingram Micro, TD Synnex, Dell, HP, Lenovo, or Cisco partners.
- Experience supporting procurement or logistics in an IT services or MSP environment.
- Ability to lift and move equipment
- Ability to stand, walk, and move within a warehouse environment for extended periods.
- Comfortable receiving, unpacking, staging, and shipping hardware.
- Ability to organize equipment and inventory within storage areas.
