Main ObjectiveMAIN JOB OBJECTIVE
We are seeking an exceptionally organized, detail-oriented, and proactive Creative Operations Coordinator to join the Global Creative Operations team. This role ensures the execution and operational efficiency of all creative initiatives, including multi-channel campaigns, social/digital, packaging design, and VMSD.
The coordinator is responsible for end-to-end project coordination, managing timelines and resources within Workfront, and serving as the primary communication channel between creative teams, internal stakeholders, and external partners. The ideal candidate thrives in a fast-paced environment, communicates effectively, and supports operational excellence and timely delivery within our growing beauty brand.
Job Responsibilities- Assist in the coordination and tracking of creative projects from inception to completion, ensuring deadlines are met and deliverables are on track. Manage project timelines and resource allocation through Workfront, maintaining efficient workflows.
- Act as a central point of contact for creative teams, internal stakeholders, and external vendors, facilitating clear and timely communication.
- Sample Coordination:
Manage the product sample closet, ensuring samples are readily available and order new stock to support various creative initiatives and photo shoots. - Assist in coordinating packaging design projects, including managing timelines and copy documents between marketing, storytelling, and translation agencies.
- Support the execution of VMSD projects, including coordinating with cross-functional partners and providing project management support for North America events.
- Vendor Management:
Facilitate relationships with creative vendors, including onboarding paperwork, creating POs, and tracking invoices to ensure timely payments and budget adherence. - Provide general administrative support to the Creative Operations team, such as scheduling meetings, sharing recap notes, and routing approvals.
- Support broader creative projects as the brand and creative evolve.
- Build working relationships with the creative team and key cross-functional partners
- Support management of multiple concurrent projects at different stages of the product development cycle
- Learn and understand the variances between creative workflows
- Anticipate team needs and ensure on-time deliverables
- Handle a range of projects independently with strong problem-solving and prioritization skills
- Own and optimize the sample management system with best practices for inventory management
- Independently manage vendor processes
- Serve as an informed liaison between creative, marketing, and cross-functional teams
- Must be able to remain in a stationary position on average about 7.5 hours/day
- Light to moderate lifting may be required
- While performing the duties of this job, the employee may be required to stand, sit, reach, stoop, kneel, and operate a computer, telephone, and keyboard
PROFILE
- Bachelor’s Degree or equivalent work experience required
- 1-4 years of proven experience in coordination, project management, or administrative support roles, ideally within a creative department, marketing agency, or the beauty/fashion/lifestyle industry
- Proactive with the ability to manage multiple projects, timelines, and deliverables
- Experience with project management platforms such as Workfront, Monday, or Asana
- Thrives in a fast-paced, ever-changing environment; flexible and able to wear many hats
- Strategic thinker, agile partner, strong organizational skills, and problem solver
- Curious and collaborative mindset with ability to foster teamwork at all levels
- Excellent verbal, interpersonal, and written communication skills
- Strong computer skills in Microsoft Excel, Word, PowerPoint, and familiarity with Adobe Creative Suite
- A genuine passion for brand building and contributing to its creative development
- Familiarity with Digital Asset Management (DAM) systems is a plus
