Editorial and Document Operations Coordinator | Foundation | Temp-to-Perm | Hybrid in NYC

Our client is looking for an Editorial and Document Operations Coordinator for a temporary to permanent hire. The role is Monday-Friday, 37.5-40 hours per week, some overtime required. This role is hybrid, 3 days/week onsite at their midtown Manhattan office, and 2 days can be remote. The role will be temporary for at least 6 months and turn permanent if both sides are agreeable.

The organization is a foundation that works to improve people’s quality of life through a variety of grants. They are looking for an extremely detail-oriented, temp-to-perm candidate to assist with procurement and board communications support. This role is to help centralize and help manage documents that staff currently do themselves in the hopes of increasing efficiency and standardization. This is a great job for someone who loves edit a document to make sure it looks pretty and has experience with copy-editing.

Preference will be given to candidates with previous Board Governance support - specifically editing or producing governance or board materials, especially at a foundation. Would also like someone who has procurement/contract administration experience.

This role is a TEMPORARY TO PERMANENT position through TSS. You would be employed and paid by our company for the temporary portion and working directly with the client. Summary of Responsibilities Governance and Board Communications and Support
  • Review and copyedit board and committee materials for clarity, accuracy, consistency and alignment with the organization’s tone, editorial standards and templates.
  • Partner with staff to improve and streamline the board materials process, refining tools, workflows and technologies (e.g., Asana and Diligent) to support efficient and high-quality governance documents.
  • Assist with the preparation and distribution of final board and committee materials, including books, agendas, emails and related logistics.
Procurement Process
  • Serve as a primary resource for contract process management across the foundation, supporting alignment across teams and the centers.
  • Manage, maintain and update contract templates, in coordination and partnership with the legal and technology teams, in alignment with legal standards and organizational needs.
  • Draft, review and revise contracts to ensure clarity, legal compliance and alignment with the foundation’s values and goals.
  • Maintain and support the use of Ironclad, the foundation’s contract lifecycle management system, to streamline contract workflows.
Qualifications
  • -1-3 years of experience in contract administration, procurement operations, governance support or a related field
  • Strong understanding of contract lifecycle management and familiarity with tools such as Ironclad or similar systems
  • Experience editing or producing governance or board materials, preferably in a foundation
  • Knowledge of procurement processes, contract standards, and basic legal terminology
  • Familiarity working with project management tools, Asana strongly preferred, but could be a similar tool
Compensation
  • Temp: $33-$35/hr
  • Perm: $75,000+/year with excellent benefits. Exact salary commensurate with experience.
