This role sits at the center of our partnerships and campaign execution — owning coordination, communication, timelines, and follow-through across internal teams and external partners. You will act as the operational backbone for partnership delivery, ensuring campaigns move smoothly from planning through launch and post-campaign wrap-up.
This is an ideal role for someone with a strong Executive Assistant, Operations, or Project Management background who is ready to step into a role with greater ownership, influence, and decision-making authority.
What You’ll Do Partnership & Stakeholder Operations- Act as the primary operational point of contact for external partners, vendors, and internal stakeholders
- Own communication around campaign timelines, approvals, launch dates, and deliverables
- Maintain clear documentation, tracking, and follow-ups to ensure nothing slips
- Coordinate and lead partner check-ins and quarterly operational reviews
- Manage insertion orders and ensure contractual deliverables are executed accurately
- Oversee campaign workflows from planning through execution and post-launch
- Track key milestones, dependencies, and risks across multiple concurrent initiatives
- Partner closely with internal project, creative, and editorial teams to align timelines and expectations
- Ensure deliverables are complete, accurate, and delivered on time
- Step in quickly to resolve issues, elevate risks, and keep stakeholders informed
- Build and maintain operational systems for tracking campaigns, approvals, and assets
- Own approval flows, version control, and documentation across partners
- Manage third‑party tools and vendors (e.g., PR distribution, asset management, collaboration platforms)
- Identify gaps, inefficiencies, and opportunities to improve how work gets done
- Coordinate launch‑day activities and communications
- Prepare status updates, deliverable summaries, and post‑launch recaps
- Support press release distribution and social coordination in collaboration with internal teams
- 2+ years of experience in operations, project management, executive support, or campaign coordination
- Exceptionally strong written and verbal communicator — you are clear, proactive, and confident
- Highly organized with a natural ability to anticipate needs and manage complexity
- Comfortable working with senior stakeholders and external partners
- Calm, structured, and solutions‑focused under pressure
- Experienced with project management tools (Airtable, Asana, Monday, Notion, etc.)
- Detail‑oriented but not precious — you know when to move fast and when to slow down
- Background as an Executive Assistant, Operations Coordinator, or Project Coordinator
- Experience supporting fast‑moving teams or leadership roles
- Exposure to marketing, media, or campaign environments
