The Product & Sourcing Manager is responsible for the day-to-day execution of vendor communication, sourcing coordination, and product setup in support of RW Guild’s Furniture, Lighting, and Accessories assortment. This role ensures products move smoothly from sourcing and ordering through receipt and system setup, maintaining accuracy, timeliness, and clear communication across teams. Execution-focused and highly organized, this role serves as a key operational partner to the Head Merchant— supporting product readiness, vendor relationships, and sourcing initiatives while coordinating closely with Product Operations to ensure clean handoffs of data and assets.

Key Responsibilities
  • Own day-to-day vendor communication related to ordering, resourcing, and order follow-ups.
  • Support product development communication as needed.
  • Coordinate order confirmations, lead times, and delivery updates in partnership with Planning and Operations.
  • Maintain clear documentation of vendor correspondence and order details. Purchase Orders, Receiving & Invoicing
  • Manage purchase order creation, tracking, and updates in coordination with Operations and Finance.
  • Oversee PO receiving and ensure accurate receipt of goods against purchase orders.
  • Support merchandising team invoicing by ensuring documentation is complete, accurate, and submitted in a timely manner.
  • Identify and flag discrepancies related to orders, receiving, or invoicing and escalate for resolution.
SKU Creation & Product Setup
  • Own SKU generation and creation for new and existing products.
  • Ensure product setups are accurate and complete prior to launch, in coordination with the Head Merchant.
  • Report regularly to the Head Merchant on product setup status and web readiness.
  • Partner with the Product Operations Coordinator to obtain and align product imagery and supporting assets.
Product Web Readiness Support
  • Support product setup for web merchandising by ensuring SKUs, pricing inputs, and product information are correctly entered and aligned.
  • Coordinate with Product Operations to ensure assets and data are in place before products go live.
  • Assist the Head Merchant in preparing products for digital launch readiness.
Inventory Intake & Calendar Management
  • Manage the incoming inventory calendar for stocked products, maintaining visibility into expected deliveries and receipt timelines.
  • Coordinate with Operations and Planning to track inbound inventory and update delivery expectations as needed.
  • Ensure inventory timing and status information is accurate and shared with Merchandising and Sales teams.
  • Flag delays, discrepancies, or risks related to inbound inventory and escalate appropriately.
  • Serve as a primary support resource for Sales inquiries related to stocked inventory availability and timing.
  • Provide clear, accurate responses to Sales regarding inventory status, inbound product, and fulfillment expectations.
  • Partner with Operations and Planning to resolve inventory-related questions impacting client orders.
  • Support Sales readiness by ensuring inventory information aligns with product setup and system data.
  • Support sourcing initiatives by identifying and reaching out to new vendors and makers aligned with RW Guild’s standards.
  • Coordinate sample requests, intake, and documentation for new sourcing opportunities.
  • Maintain organized records of sourcing outreach, samples, and vendor information.
  • Partner with Product Design and Merchandising leadership to support ongoing sourcing exploration.
Qualifications
  • 3–4 years of experience in product coordination, sourcing, or merchandising operations.
  • Experience managing vendor communication, purchase orders, receiving, and inventory tracking.
  • Strong working knowledge of Shopify, including product setup, SKUs, variants, and ongoing maintenance.
  • Highly organized, detail-oriented, and comfortable managing multiple timelines and vendors.
  • Clear communicator able to support internal teams and external partners.
  • Interest in luxury, design-led, or craftsmanship-driven brands is a plus.
