Morgan Stanley’s Wealth Management Global Investment Office (GIO) seeks a highly motivated, organized, and energetic Executive Administrative Assistant with a strong interest in financial services to support several Managing Directors (including the Department Head/Wealth Management Chief Investment Officer) with a variety of high-level administrative, organizational, and logistical tasks. This role is ideal for an individual looking to build a career within the financial services industry while gaining exposure to senior leadership and the firm’s global investment platform.

The Executive Administrative Assistant will interact regularly with stakeholders at all levels across Morgan Stanley, as well as with external partners and clients. The successful candidate will demonstrate a strong customer-service orientation, excellent organizational skills, and the ability to thrive in a fast-paced environment while managing multiple priorities.

This is an in-person role with time split between Midtown Manhattan and Purchase, New York.



Key Responsibilities Include

  • Manage complex executive calendars, resolving scheduling conflicts and communicating updates to Managing Directors
  • Coordinate domestic and international travel, including flights, hotels, and ground transportation; prepare detailed travel itineraries and liaise with trip organizers
  • Vet and prioritize requests for meetings, events, and media appearances
  • Prepare and submit expense reports in a timely and accurate manner
  • Maintain records of client interactions in Salesforce
  • Manage the team’s master client and field engagement calendar
  • Screen and direct phone inquiries appropriately
  • Plan, organize, and execute team and department-wide meetings and events
  • Provide administrative support on ad hoc projects and initiatives
  • Assist with creating presentations and preparing meeting summaries
  • Utilize AI tools to improve efficiency and support administrative workflows
  • Support special projects and initiatives led by the department’s Chief Operating Officer
Qualifications

  • Bachelor’s degree required with 2+ years of professional experience, ideally in an administrative or sales assistant role
  • Interest in financial services; familiarity with Morgan Stanley or the wealth management industry is a plus
  • Exceptional organizational and time-management skills, with the ability to manage multiple priorities
  • Detail-oriented self-starter with a proactive mindset and strong problem-solving abilities
  • Sound judgment with the ability to prioritize and make decisions in a fast-paced environment
  • Energetic, motivated, and eager to take on new challenges and initiatives
  • Familiarity with AI tools, agents, or productivity platforms and an interest in leveraging them to improve efficiency and workflows.
  • Comfortable interacting with senior executives and external stakeholders
  • Team player with the ability to build strong working relationships across the firm
  • Excellent computer skills including Outlook, Word, PowerPoint, and Excel
  • Strong writing, editing, and proofreading skills
Work Location:

Flexibility is required; this is an in-person position based in Midtown Manhattan and Purchase, NY, depending on the executives’ schedules.
