The role will be hybrid with 3 days per week in Fredriks Manhattan office.
Responsibilites Diary & Schedule Management- Own and manage a highly complex, ever-evolving global calendar across multiple time zones, ensuring the CEO's time is maximised and protected
- Schedule, coordinate, and confirm internal and external meetings, interviews, and calls — from board meetings to client lunches to multi-city roadshows
- Proactively resolve scheduling conflicts, anticipate clashes in advance, and brief the CEO ahead of all engagements
- Manage recurring rhythms — weekly leadership calls, quarterly reviews, board meetings — ensuring preparation materials are in place
- Arrange complex international travel itineraries spanning multiple countries and time zones, including flights, hotels, ground transport, and visas
- Prepare detailed travel packs with schedules, contacts, briefing notes, and logistics for every trip
- Anticipate disruptions and act quickly to rearrange plans as needed, always minimising the CEO's stress
- Manage a high-volume email inbox — triaging, drafting responses, escalating urgent matters, and filtering noise
- Serve as the first point of contact for clients, candidates, investors, and senior stakeholders reaching out to the CEO
- Draft, proofread, and send correspondence on behalf of the CEO with accuracy and in their voice
- Liaise seamlessly with counterparts at global partner organisations and across Fredriks' five offices
- Build strong working relationships with the CEO's key clients, candidates, and contacts — acting as a trusted, professional extension of their office
- Maintain an up-to-date contact database and relationship log, tracking engagements and flagging follow-ups
- Work closely with Global C-Suite in maximise CEO's efficiency and performance
- Coordinate with senior leaders across the London, Hong Kong, Singapore, and Tokyo offices on cross-regional initiatives
- Prepare briefing documents, background research, agendas, and presentations for all key meetings
- Attend selected meetings to take minutes, track actions, and ensure follow-through on commitments
- Manage the CEO's action list and ensure nothing falls through the cracks
- Lead or support special projects as directed by the CEO — ranging from office initiatives to business development research
- Conduct ad hoc research and analysis, presenting findings clearly and concisely
- Support on-boarding of new hires and manage relationships with key vendors and service providers
- Manage expense reporting, invoicing approvals, and budget tracking on behalf of the CEO
- Maintain organised digital filing systems, ensuring critical documents and contracts are accessible and up to date
- Coordinate with the office manager and operations team on facilities and office needs relevant to the CEO's office
- Bachelor's degree or equivalent experience
- Google suite & Canva
- Communication skills, written/verbal
