Role Summary

Highly organized and detail‑oriented Executive Assistant to support 3-4 Global VPs, enabling leaders to operate at scale by ensuring best‑in‑class administrative and operational support. This role is focused on driving efficiency through exceptional calendar management, coordination of key routines, and seamless execution of day‑to‑day logistics. The ideal candidate brings agility, responsiveness, and strong attention to detail, with the ability to manage complexity across global time zones while maintaining a high standard of quality and discretion.

Key Responsibilities
  • Own and manage complex calendars across multiple senior leaders, ensuring optimal prioritization, efficient scheduling, and alignment across time zones
  • Coordinate logistics for core leadership routines (e.g., team meetings, business reviews, town halls), ensuring smooth execution
  • Manage domestic and international travel arrangements, including detailed itineraries and real‑time adjustments
  • Support meeting preparation through agenda coordination, scheduling, and note‑taking as needed
  • Track and manage expenses, invoices, and budget‑related administrative processes
  • Serve as a reliable point of contact for scheduling and coordination across internal and external stakeholders
  • Maintain organized systems for documents, communications, and key materials
  • Ensure timely follow‑ups on administrative actions and deadlines
  • Handle confidential information with professionalism and discretion
Qualifications & Experience
  • Experience in an Executive Assistant or administrative support role, ideally supporting senior leaders
  • Strong organizational and time‑management skills, with the ability to manage multiple priorities with accuracy
  • High attention to detail and commitment to delivering quality work
  • Strong communication skills and a professional, service‑oriented mindset
  • Ability to operate effectively in a fast‑paced, global environment across multiple time zones
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and scheduling tools
  • Reliable, responsive, and able to execute tasks with minimal oversight
  • High level of integrity and discretion when handling sensitive information
