Arch Street Communications seeks a dedicated Operations Executive Assistant.ASChas delivered strategic communications and public engagement solutions for over 30 years. We deliver integrated marketing and outreach programs that raise awareness, increase equity, andengage Americans on important issues related to transportation, energy/climate, economic development, and housing.
Job Description:The Operations Executive Assistant (Ops EA), reporting directly to the CEO &Founder provides high-level administrative and operational support to leadership while managing day-to-day business operations. Key responsibilities include calendar management, email management, travel logistics, vendor coordination, and process improvements to enhance efficiency. They act as a liaison between executives and internal/external stakeholders (primarily internal), maintaining strict confidentiality while optimizing workflows.
Executive Support:This primary responsibility covers two areas. First, the Ops EA will provide support to a busy CEO including calendar management, document management and preparation, email management and travel logistics.
Second, the Ops EA will partner with the CEO in the development and implementation of comprehensive operational processes and strategies aligned with business objectives in the areas of internal communications, team relations, and general day-to-day business operations.
Operational Efficiency:Assisting in the development, implementation, and improvement of business processes and procedures.
Project Management:Coordination and management of systems and stakeholders to drive various projects to increase operational efficiency.
Data & Reporting:Preparing reports, tracking key operational metrics, and creating spreadsheets to monitor performance.
Internal Communication:Drafting, proofreading, and distributing communications, as well as organizing meetings.
RequiredSkills & Qualifications
Experience:
Previous experience in an administrative, operational, or executive assistant role. Experience with Government contracting and certifications is a plus.
Tools:- Mastery in Microsoft Office platform;specifically,Outlook,Word, Excel,Share Point
- Mastery of Adobe Acrobat Pro
- Experience with AIand willingness to expand its adoption within the organization
- Experience with project management software; is a plus.
- Basic knowledge of Quickbooks
Online & Quickbooks Time
Strong written and verbal communication skills for liaising between departments.
Organization:Excellent time management, prioritization, and multitasking skills.
Confidentiality:Ability to handle sensitive company information with discretion.
