Sales Assistant

Requirements
  • High school diploma, GED or suitable equivalent
  • Extremely proficient in Microsoft Office applications, specifically Microsoft Excel
  • Professional attitude and appearance
  • Highly organized and detail‑oriented
  • Strong interpersonal, organizational, communicative and problem‑solving skills
  • Ability to be resourceful and proactive when issues arise
  • Detail oriented and able to multitask
Key Accountabilities
  • Organize, track, and ensure the progress of all required paperwork for multiple Account Executives to verify documents are completed correctly and on time. This includes, but is not limited to, line sheets, look books, buy sheets, inventory reports and sales reports.
  • Facilitate the distribution of documents at the Account Executives’ request to clients, including the sending of electronic documents.
  • Respond to department‑specific questions in a timely and accurate manner.
  • Research, communicate, and resolve operational issues and potential problems to supervisors and other business units.
  • Join meetings to take notes with accuracy to discuss with Sales Executives.
  • Set up meeting for sales teams in designated showroom.
  • Ensure all showrooms are in order and clean for presentation to buyers.
  • Providing availability when accounts want to place an order.
  • Strong computer skills
    - Working with Sales Team daily.
  • Respond to all inquiries regarding orders, requests.
  • Collaborate with different departments within the company to fulfill customer requests.
  • Create visual and marketing requests, for example; photoshoots.
  • Manage inbound calls of inquiry with exceptional customer service and forward to correct person.
  • Greet and welcome guest as soon as they arrive in the office.
  • Direct visitors to appropriate showroom, offer water/coffee/tea. Notify designated person that they have arrived via phone call or in person.
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Order front office supplies and keep inventory of stock.
  • Update calendars and schedule meetings.
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
