Position: Office Manager / Senior Bookkeeper
Location: New York

Castaways Yacht Club is a member only Yacht Club with marina, service and sales facilities located in New Rochelle, NY. Family-owned and operated since 1966, Castaways provides high-level service to a strong and loyal membership base. We are seeking an experienced Office Manager / Senior Bookkeeper to oversee accounting, HR administration, purchasing coordination, and office systems in a stable, year-round waterfront business.

Role Description

This is a hands‑on position responsible for independently managing bookkeeping functions, performing month‑end close, supporting daily operations, and assisting with purchasing and basic IT support in a service‑based business environment.

Qualifications
  • 5+ years bookkeeping or accounting experience
  • Strong Quick Books experience (Desktop Pro or Enterprise preferred)
  • Experience in service-based or trade industry preferred
  • Experience performing month‑end close independently
  • Proficiency in Microsoft 365 (Outlook, Excel, Teams, SharePoint)
  • Detail‑oriented, organized, and comfortable working independently
Key Responsibilities
  • Perform month‑end close including reconciliations, journal entries, and preparation of financial statements
  • Manage accounts payable and accounts receivable
  • Member and service billing administration
  • Bank and credit card reconciliations
  • Sales tax filings and compliance
  • Maintain general ledger and organized financial records
  • Review service job billing for completeness and basic job‑cost awareness
  • Coordinate payroll processing with Paychex and reconcile payroll liabilities
  • Maintain employee onboarding documentation and HR records
  • Assist service department with ordering parts and marina supplies
  • Verify vendor invoices against orders and receipts
  • Serve as internal point person for basic technology troubleshooting (printer setup, Microsoft 365 support)
  • Learn and administer marina work order management system
