The Executive Assistant to the SVP, Chief Artistic Officer serves as a trusted strategic partner responsible for managing the operational rhythm, priorities, and administrative infrastructure of the Chief Artistic Officer’s office. This role goes beyond traditional administrative support and requires a highly perceptive, organized, and anticipatory professional capable of operating within a fast-paced global luxury and creative environment.
The Executive Assistant plays a critical role in protecting the Chief Artistic Officer’s time, enabling creative leadership, and ensuring seamless coordination across the Design Studio and executive leadership team. This individual must be able to quickly assess complex situations, understand shifting priorities, and exercise sound judgment in order to manage competing demands, sensitive information, and high-visibility interactions.
LocationThis position is in-person (5 days per week) at our Corporate Headquarters in New York, NY, and requires fluency in both French and English.
Success CriteriaSuccess in this role requires exceptional situational awareness, emotional intelligence, and discretion. The Executive Assistant must anticipate needs, identify potential conflicts before they arise, and coordinate proactively across teams to support executive decision-making and creative output. Acting as a central point of coordination between the Chief Artistic Officer, Design Management, senior leadership, and internal and external stakeholders, this role ensures the efficient flow of communication, preparation, and logistics required to support the global activities of the office.
Operating in a dynamic environment that includes passionate and dynamic creatives, demanding schedules, international travel, and high-stakes business priorities, the Executive Assistant must remain calm under pressure and serve as a steady, trusted presence within the office. This individual will exercise diplomacy, sound judgment, and confidentiality while representing the Chief Artistic Officer’s priorities and protecting the integrity of the executive’s time, focus, and working environment.
KeyAccountabilities
Executive Calendar & Strategic Time Management
- Maintain and strategically manage the Chief Artistic Officer’s complex and fluid calendar, ensuring alignment with creative priorities, executive meetings, and global commitments.
- Balance competing demands across design reviews, leadership meetings, travel, and creative development time.
- Protect the executive’s time by prioritizing requests, identifying conflicts, and proactively adjusting schedules when needed.
- Work closely with Design Management to ensure sufficient time is allocated for design review, critique sessions, and major project milestones.
- Exercise sound judgment in filtering requests, scheduling engagements, and managing access to the executive.
- Adjust scheduling dynamically in response to evolving creative, operational, and executive priorities.
Executive Office Operations & Communication
- Manage the day-to-day operations of the Chief Artistic Officer’s office to ensure a professional, organized, and efficient working environment.
- Draft and manage executive correspondence and communications on behalf of the office.
- Coordinate closely with cross-functional executive and administrative assistants across the organization to facilitate efficient communication and scheduling.
- Manage jewelry borrowing requests, tracking, and reconciliation related to executive needs and events.
- Coordinate facilities and Information Technology requests to ensure the office environment supports productivity and executive activity.
- Ensure all meetings and special events involving the executive are appropriately prepared with materials, tools, and logistical support.
Executive Travel & Global Logistics Management
- Manage the planning and execution of complex international travel itineraries, including flights, hotels, visas, transportation, and reservations.
