Position: Temp to Perm Workplace Experience Coordinator (5x a week in office)
Location: New York

Our client, a fast-growing technology company, is seeking a Temp-to-Perm Workplace Experience Coordinator to support day-to-day office operations and employee experience across their New York and Boston offices. This role is ideal for someone who takes pride in creating a seamless, well-run workplace environment and enjoys being the go-to person for keeping operations running smoothly. The ideal candidate is proactive, detail-oriented, resourceful, and understands the importance of office decorum in a professional environment.

This is a temp-to-perm opportunity with an initial contract period of approximately four months, with the intention of converting to a full-time employee. This role is fully in office, five days per week.

While the role is primarily based in the New York office, this person will also have oversight of the Boston office and will travel there approximately 1–3 days per month to support workplace operations and ensure consistency across locations.

RESPONSIBILITIES:
  • Ensure smooth day-to-day office operations including front desk coverage, supply management, shipping and mail coordination, and maintaining shared spaces to workplace standards
  • Serve as the primary point of contact for visitors, greeting guests, managing visitor check-in, and maintaining a polished and professional lobby environment
  • Conduct regular office walkthroughs to ensure workplace standards are maintained and the office is operating smoothly
  • Coordinate leadership and client visits and liaise with building management as needed
  • Assist with the planning and execution of internal events and workplace initiatives
  • Serve as the on-site contact for employee workplace-related requests and questions, escalating issues when necessary
  • Manage pantry vendors, including coordinating deliveries, troubleshooting issues, and ensuring a consistent pantry experience
  • Track pantry and site-related expenses and assist with monthly expense reporting
  • Maintain snack and pantry supplies on non-serviced days
  • Maintain seating charts and update desk assignments based on internal planning

  • Provide light troubleshooting for office technology including conference rooms, printers, and AV systems in partnership with IT
  • Assist with drafting and distributing internal workplace communications
  • Coordinate employee badge requests and visitor credentials while supporting adherence to office safety and security procedures
  • Oversee workplace operations in the Boston office, including periodic travel to ensure alignment with workplace standards and employee experience initiatives
REQUIREMENTS:
  • 2–3 years of experience in workplace operations, office coordination, hospitality, or administrative support
  • Highly organized, resourceful, and proactive with strong attention to detail
  • Strong understanding of professional office decorum and workplace standards
  • Service-oriented mindset with pride in maintaining a best-in-class office environment
  • Ability to manage multiple priorities and adapt in a fast-paced, evolving environment
  • Comfortable operating with ambiguity and proactively identifying needs and solutions
  • Strong written and verbal communication skills with the ability to collaborate cross-functionally
  • Proficiency with workplace tools such as Google Workspace or Microsoft Office, Slack, and ticketing systems
  • High level of ownership with a proactive, team-oriented attitude and a “no task too small” mentality

  • Ability to travel to the Boston office approximately 1–3 days per month
EDUCATION:
  • 2- or 4-year degree preferred
  • Experience supporting high-growth or multi-team environments is a plus
HOURS:
  • 8:30am–5:00pm;
    Monday through Friday
COMPENSATION:
  • Temp period (approximately 4 months):
    Hourly rate DOE
  • Conversion salary range: $75K–$105K base + bonus + benefits + daily meal stipend
