Administrative Assistant to the Chief Operating Officer

The Leffell School is a cutting-edge K-12 Jewish independent school serving more than 850 students on two campuses in Westchester County, NY, 30 minutes north of New York City. We are seeking an Administrative Assistant to the Chief Operating Officer.

Position Overview:

The Administrative Assistant to the Chief Operating Officer provides administrative and operational support to ensure the smooth and effective functioning of the school's daily operations. This role serves as a key liaison among faculty, staff, parents, and external partners, requiring discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced school environment.

Essential Job Functions:

Administrative & Executive Support
  • Manage the COO's calendar, scheduling meetings with faculty, staff, administrators, parents, vendors, and trustees
  • Serve as a key liaison between the COO and division heads, faculty, staff, parents, and external partners
  • Draft, edit, and proofread school communications, reports, and correspondence
  • Prepare materials and summaries for leadership meetings, operations meetings, and committee sessions
  • Handle sensitive and confidential information with discretion, particularly related to students, families, personnel, and security
  • Anticipate needs and proactively problem-solve to support the COO's effectiveness
  • Performs other general administrative support as requested by the COO
Operations & Facilities Support
  • Assist with day-to-day operational coordination across facilities, maintenance, transportation, food service, security, and custodial teams
  • Track operational projects such as campus improvements, vendor work, and seasonal readiness (openings, closings, events)
  • Support documentation of operational procedures, protocols, and workflows
  • Support collaboration among divisions (Lower, Middle, Upper School) on shared operational needs
  • Assist with vendor communication, contracts, scheduling, and invoice tracking
  • Support budget preparation and expense monitoring related to operations, facilities, and services
  • Assist with coverage when operational staff are out
  • Assist with ad hoc projects tied to school growth, safety, and community experience
Data, Reporting & Organization
  • Maintain organized digital and physical records related to operations, vendors, and compliance
  • Compile reports and summaries for the COO.

Qualifications:
  • Requires a Bachelor's Degree and a minimum of 2-4 years related experience.
  • Ability to work in a high-paced environment.
  • Excellent orientation to detail with emphasis on accuracy and quality.
  • Exceptional verbal and written communication skills.
  • Ability to prioritize work to balance multiple projects and deadlines.
  • Excellent follow up on assignments and tasks.
  • Google workspace proficiency.

Compensation and Benefits:

• Pay Rate: $50,000-$65,000

• Benefits:
Generous paid time off, including personal and vacation days, holidays, and reduced work hours during the summer. Health benefits include medical, dental, vision, disability, and FSAs. Others include a retirement saving plan (403b) and wellness benefits.
