Position Summary
The Executive Assistant to the Dean of Yeshiva University College of Dental Medicine provides senior‑level support to the Dean and manages the day‑to‑day administrative operations of the Dean’s Office. Reporting directly to the Dean, the Executive Assistant exercises sound judgment and discretion in matters related to accreditation, policy, and school operations.
Key responsibilities include managing the Dean’s calendar, coordinating meetings, and handling complex logistics across departments.
The Executive Assistant also screens and prioritizes communications, responds independently when appropriate, and ensures timely follow‑up on key issues.
This role requires professionalism, strong communication skills, and the ability to interact effectively with senior leadership, faculty, students, staff, and external stakeholders.
Position Responsibilities- Serve as the primary point of contact for the Dean’s Office, managing all correspondence, scheduling, and incoming inquiries.
- Ensure the Dean’s Office is open and staffed Monday through Friday, excluding university holidays.
- Handle confidential information with the utmost discretion.
- Manage the Dean’s complex calendar, including internal and external departmental meetings.
- Coordinate meeting logistics (in‑person, virtual, and hybrid), including AV support, room reservations, and material preparation.
- Draft and distribute agendas, take meeting minutes or notes, track action items, and ensure timely follow‑up.
- Triage all incoming contacts and correspondence, prioritize urgent matters, and refer to appropriate parties while ensuring resolution and follow‑through.
- Respond independently to routine inquiries and draft internal communications or announcements as needed.
- Serve as a liaison between the Dean and faculty, staff, students, and external stakeholders.
- Arrange and manage travel for the Dean, ensuring cost‑effective and efficient itineraries.
- Reconcile Corporate Card transactions with required documentation and respond to finance department inquiries.
- Maintain and update faculty and staff records, including certification and licensure data.
- Distribute and track administrative forms related to reviews, promotions, renewals, and other faculty milestones.
- Support the College’s compliance with Commission on Dental Accreditation (CODA) standards and assist with documentation and preparation for site visits or reporting.
- Maintain accurate records and support the documentation of school policies, procedures, and strategic initiatives.
- Provide general support on special projects and operational initiatives as assigned by the Dean.
- Assist with planning or supporting school‑wide events, retreats, or functions as needed.
- Bachelor’s degree required; preferred fields include Business Administration, Communications, or a related discipline.
- Minimum of 3–5 years of administrative and office experience, including at least 3 years supporting senior‑level executives in a high‑paced environment.
- Demonstrated success in working collaboratively and as part of an effective team in meeting the needs of the executive(s) and the organization.
- Prior experience in higher education, healthcare, or nonprofit settings is preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, PowerPoint) is required. Experience with Adobe Acrobat (and/or Creative Cloud) for document creation, editing, and distribution.
- Skilled in using enterprise systems such as Banner for human resources, purchasing, recruiting, and reporting functions.
- Strong organizational and project management skills with exceptional attention to detail.
- Ability to prioritize and manage multiple tasks and deadlines in a fast‑paced, high‑volume environment.
- Excellent written and verbal communication skills; capable of drafting correspondence and representing senior leadership professionally.
- High level of discretion in handling confidential and sensitive information.
