In your role, you will provide daily organizational and administrative support to the Pfizer Patient Services Head.
This includes the handling of daily routine tasks in order to maximize operational efficiency. With a high level of discretion and confidentiality, you will organize and coordinate meeting and travel arrangements in house and/or off site from other Pfizer locations. This Administrative Assistant role will be responsible for providing administrative support to the Head of Pfizer Patient Services and the Pfizer Patient Services Team Leads.
The role involves leading/supporting several project initiatives as well as day-to-day administrative responsibilities to the head of Pfizer Patient Services and direct reports.
Provide administrative support to the Pfizer Patient Services team, including calendar management, travel, coordination of team meetings, meeting management and logistics and full expense report support. Provide administrative support to the Pfizer Patient Services Leadership Team with meeting planning, tracks decisions and outcomes from meetings, proactively follows up to ensure deliverables are met, prepares and drafts recommended agendas for key meetings, meeting material coordination and distributes meeting minutes.
Process incoming and outgoing mail, including ability to handle time sensitive and confidential matters on a regular basis
Work closely with the leadership Administrative Assistants about coverage within the Pfizer Patient Services / GAV group
** BASIC QUALIFICATIONS
** Candidate demonstrates a breadth of diverse leadership experiences and capabilities including: the ability to influence and collaborate with peers, develop and coach others, oversee and guide the work of other colleagues to achieve meaningful outcomes and create business impact.
High School Diploma or GED with 4+ years’ of experience required as executive administrative assistant or coordinator
- Ability to work effectively in a team-based environment and partner with internal/external stakeholders
Self-starter, proactive, solution-seeking attitude, anticipating team needs and actively identifying opportunities to strengthen results
- Demonstrated ability to manage tight timelines and work under pressure
Ability to anticipate and proactively resolve conflicts and use diplomacy to resolve problems
- Strong verbal and written communication skills - ability to mobilize team members and engage leadership
- Demonstrated ability to show good judgment and discretion
- Demonstrated project management experience
- Ability to navigate internal organization/processes
- Excellent judgment as well as the ability to work with extremely confidential documents and information and excellent follow-up skills
Strong working knowledge of Microsoft Outlook, the Microsoft Office Suite (i.e., Microsoft Word, Excel, PowerPoint, Outlook, and One Note) and SharePoint; in addition to Pfizer applications such as ePA3, Ariba, PoD.
- Ability and willingness to handle special projects- "Demonstrate experience fostering productive relationships with other senior executive administrative staff"- General knowledge of the pharmaceutical industry and healthcare environment
- Demonstrated experience with strategic and operating plan processes
