Position Summary

Reporting to the Vice President for Enrollment Strategy, the Special Assistant is a strategic partner that manages complex workflows, aligns the VP’s time with the division’s priorities, and resolves high-level stakeholder issues. The role may require evening and weekend work.

Essential Functions
  • Manage strategic operations of the Office of Enrollment Strategy to ensure efficient workflows and high‑level coordination.
  • Convene senior leadership groups, set agendas, prepare briefing materials, and follow up to ensure decision‑making.
  • Translate the VP’s high‑level goals into actionable project plans and tracking systems, including partnership pipelines.
  • Serve as primary liaison, managing escalated inquiries from students, parents, faculty, and external partners.
  • Orchestrate the VP’s calendar and email communications, prioritizing strategic planning and necessary escalations.
  • Provide fiscal oversight, including budgeting, monitoring expenditures, and variance analysis.
  • Handle executive admin logistics: travel booking, purchases, expense reports, and reconciliations.
  • Prepare and distribute agendas, reports, presentations, and background documents for meetings and events.
  • Plan and coordinate internal and external meetings and events for the VP and enrollment leadership team.
  • Maintain flexibility to work outside normal hours and travel as needed.
Management Responsibilities

Guide work of other employees who perform similar work, set priorities, and review work, but is not responsible for final decisions in hiring, performance management, or compensation.

Additional Functions
  • Maintain organized files per University policies and confidentiality standards.
  • Assist with tracking deadlines, deliverables, and action items for the VP and enrollment leadership team.
Required Qualifications:

Education and Experience

Bachelor’s degree and a minimum of five years of progressively responsible experience supporting executive leadership, preferably in higher education or non‑profit.

Required Qualifications:

Knowledge and Skills
  • Expert proficiency with Google Workspace, Microsoft Office, and project management platforms such as  or Asana.
  • Strong aptitude for integrating generative AI tools.
  • Excellent organization, multitasking, and time‑management skills.
  • Strong judgment, problem‑solving, verbal and written communication.
  • Ability to anticipate executive needs and exercise discretion.
  • Proficiency in building relationships at all University levels.
  • Ability to synthesize complex data into executive‑level briefings and one‑pagers.
  • Commitment to professionalism, confidentiality, and discretion.
  • Track record managing departmental budgets and complex structures.
Preferred Qualifications

Master’s degree in Higher Education Administration, Public Administration, Business, or related field strongly preferred.

Compensation

Minimum Starting Salary: $102,000
Maximum Starting Salary: $110,000
Salary commensurate with qualifications, experience, and skills.
