About the Role:We are seeking an experienced Executive Assistant to provide high-level support to the President of an established publishing organization based in Manhattan. This role serves as a trusted partner to executive leadership and is responsible for ensuring the smooth coordination of daily operations, priorities, and executive engagements.
The ideal candidate is a seasoned executive support professional who brings sound judgment, discretion, and a proactive approach to managing a fast‑paced executive office. This position requires strong organizational skills, professionalism, and the ability to anticipate needs while maintaining flexibility in a dynamic environment.
What You'll Do:Executive Calendar and Priority Management
- Manage and prioritize a complex, high‑volume calendar
- Coordinate meetings across internal teams and external stakeholders
- Anticipate scheduling conflicts and proactively recommend solutions
- Ensure alignment between executive time and organizational priorities
- Arrange detailed domestic and international travel itineraries
- Coordinate logistics for meetings, industry events, and executive engagements
- Prepare materials and briefing information as needed
- Serve as a primary point of contact for authors, agents, partners, and senior stakeholders
- Draft and manage professional correspondence on behalf of the President
- Maintain professionalism and confidentiality in all communications
- Support special projects and cross‑functional initiatives
- Track action items and follow‑ups to ensure timely execution
- Develop and maintain organizational systems that enhance efficiency within the executive office
- Minimum of 10 years of experience supporting senior executives or C‑level leadership
- Proven ability to manage complex schedules in a fast‑paced environment
- Excellent written and verbal communication skills
- Strong organizational and problem‑solving abilities
- High level of discretion when handling confidential information
- Experience working on‑site in New York City preferred
Preferred backgrounds include publishing, media, creative industries, professional services, or founder‑led organizations.
