Position OverviewIn this role, the Executive Assistant will serve as a key partner to the Co-Founder, providing comprehensive administrative support while acting as a strategic thought partner in a fast-paced environment. The position involves managing ad hoc projects, coordinating complex travel arrangements, and overseeing schedules to maximize the executive’s time. Success in the role will require the ability to anticipate needs, prioritize competing demands, and maintain a high level of discretion and confidentiality.
Key Responsibilities- Administrative Support:
- Manage the executive’s calendar, schedule meetings, and prioritize appointments to ensure efficient time management.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Handle incoming communications, including phone calls, emails, and messages, ensuring timely and appropriate responses.
- Travel Coordination:
- Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation, with attention to cost-effectiveness and time efficiency.
- Anticipate travel needs and manage travel-related documentation and expenses.
- Project Management:
- Assist with ad hoc projects and initiatives as assigned, ensuring timely completion and alignment with organizational goals.
- Conduct research and prepare briefs on relevant topics to support decision-making processes.
- Relationship Management:
- Serve as a liaison between the executive and internal/external stakeholders, building and maintaining strong relationships.
- Coordinate and facilitate communication across departments to ensure smooth operations.
- Confidentiality & Discretion:
- Handle sensitive information with utmost confidentiality and professionalism.
- Exercise sound judgment in managing competing priorities and maintaining the executive's focus on strategic objectives.
- Bachelor’s degree or equivalent experience preferred.
- Experience supporting C-Suite/Department Head executives or senior management in a fast-paced environment.
- Proven track record of managing complex calendars and travel logistics.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Demonstrated ability to work independently and collaboratively as part of a team.
- High level of integrity and professionalism, with a proactive and positive attitude.
