Administrative Coordinator
The Role
Seeking a highly organized, proactive, and detail-oriented Administrative Coordinator to support our growing bicoastal operations. This role plays a key part in keeping daily operations running smoothly by providing administrative support to the Office Managers in both New York and Los Angeles, as well as managing the busy calendar and scheduling needs for the founder and the New York team.
Key Responsibilities Executive & Team Support- Manage and maintain the founders complex and dynamic calendar, ensuring seamless scheduling and prioritization.
- Coordinate meetings, calls, appointments, and internal communications for the founder and the NY team.
- Serve as a point of contact for scheduling inquiries and follow-ups.
- Work closely with the NY and LA Office Managers to support daily office operations across both coasts.
- Assist with office organization, supplies management, shipping needs, and vendor coordination.
- Support the onboarding process for new hires: preparing materials, organizing workspace setup, and scheduling introductions.
- Help maintain operational workflows between the NY and LA offices.
- Support cross-departmental communication and ensure information flows smoothly between teams.
- Assist with special projects, team initiatives, and company-wide events as needed.
- 1–3 years of experience in administrative, operations, or coordinator roles (startup or creative industry experience a plus).
- Strong organizational skills with excellent attention to detail.
- Comfort working in a fast-paced environment and balancing multiple priorities.
- Excellent verbal and written communication skills.
- Proficiency in Google Workspace, Slack, and calendar management tools.
- A proactive mindset with the ability to anticipate needs and problem-solve quickly.
- This is a New York–based, on-site position located in the Domino Building in Williamsburg.
- Collaboration with teams in both NY and LA is central to this role, requiring strong communication and adaptability.
Salary $70,000-$90,000
