Reports to:
Director of Operations. Are you highly organized, adaptable, and curious about how a dynamic organization runs behind the scenes? We are on the lookout for a thoughtful and capable English–Mandarin Bilingual Executive Assistant to work directly with the Director of Operations Montessori School. This role goes beyond managing schedules or completing isolated tasks. It is an entry-level, growth-oriented position for someone who enjoys multitasking, learning through doing, and becoming an essential part of a close-knit operations team.
You will support daily operational needs, assist with a wide range of special projects, and help turn ideas into action so work moves forward smoothly and thoughtfully. We are hiring two Executive Assistants under this role.
- Provide day-to-day support to the Director of Operations across multiple priorities and projects.
- Assist with planning, coordination, and execution of special projects as needed.
- Help organize tasks, schedules, documents, and follow-ups.
- Support cross-department communication and coordination.
- Maintain clear, organized spreadsheets, records, and filing systems.
- Assist with operational, administrative, and logistical tasks as priorities shift.
- Communicate professionally and thoughtfully with staff, parents, and external partners when needed.
- Step in where support is most needed to help ensure work runs smoothly.
- Entry-level position; 1–3 years of professional experience welcome (prior experience in a similar support role is a plus).
- Bachelor’s degree required.
- Bilingual fluency in English and Mandarin required.
- Strong organizational skills and attention to detail.
- Technologically savvy, with proficiency in G-Suite and spreadsheets, and comfortable learning new internal systems and platforms.
- Able to manage multiple priorities in a fast-paced environment.
- Highly organized, dependable, and proactive.
- Solution-oriented, with strong problem-solving and critical-thinking skills.
- Strong sense of urgency and accountability, with the ability to prioritize and meet deadlines.

This role is designed to evolve. Over time, and as capability and trust are demonstrated, the Executive Assistant may take increasing ownership of specific focus areas or recurring initiatives, while remaining closely supported and mentored by the Director of Operations.
Compensation & Benefits$40,000–$48,000 annually, commensurate with experience. Full benefits package including:
