Job Summary
Rapport, a specialized division of FLIK Hospitality Group, focuses on guest and employee services, meeting and event planning, and conference center management. The Meeting & Event Coordinator will work closely with executives and administrative staff to ensure seamless planning and coordination of meetings, conferences, and other events at multiple locations in New York and New Jersey, with occasional travel to other East Coast and Central region sites.
Salary: $60,000/Yr – $75,000/Yr.
Responsibilities- Handle meeting room bookings, using the reservation system (EMS), and strategically assign meeting space to maximize utilization.
- Coordinate services for meetings, including audio‑visual requirements, catering, room set‑ups, signage, and distribution of materials, and liaise between clients and vendors.
- Execute events as support or lead, including set‑up and tear‑down of meeting space and catering.
- Produce event resumes and host pre‑conferences and post‑conferences with clients and onsite teams.
- Obtain correct approval and billing information for all expense‑related activity, monitor accuracy, and keep within client budgets.
- Manage post‑meeting surveys and work with leadership on improvements.
- Identify booking conflicts, suggest solutions, and discuss unresolved conflicts with the Conference Center Manager/GS Manager.
- Verify meeting rooms are set‑up correctly with proper equipment and amenities before meetings and greet hosts upon arrival.
- Lift 30–50 lbs. if needed.
- Respond to phone calls and emails with new meeting requests and special add‑on information for existing meetings.
- Provide lunchtime and short‑term coverage for Office services staff.
- Develop and share ideas that enhance the meeting experience at all locations.
- Conduct opening and closing walkthroughs, report discrepancies, and address issues via service tickets.
- Resolve space or amenities related issues to ensure an elevated user experience.
- Perform other duties as required.
- Previously managed corporate or social events and meetings.
- Basic logistical planning experience.
- Experience sourcing and managing vendors.
- Understanding of food services and catering;
Serv Safe Certified preferred.
