Department Administrator, Jacobs School of Medicine and Biomedical Sciences
The Jacobs School of Medicine and Biomedical Sciences is seeking candidates for the Department Administrator role. The Department Administrator plays a vital role in coordinating all administrative activities for the department and manages a broad range of responsibilities—including Finance, Human Resources, and additional operational support—to ensure the department runs smoothly and effectively. The role is a key partner to the Department Chair, faculty, and staff, and acts as a liaison to the Office of Resource Management.
Responsibilities- Develop, monitor, and manage departmental budgets; oversee expenditures; and prepare comprehensive monthly and annual financial reports for departmental and school leadership.
- Manage financial transactions, reimbursements, and procurement processes using university systems (e.g., Shop Blue, Concur).
- Prepare and process all personnel transactions, including faculty appointments, promotions, and tenure dossiers.
- Serve as the department’s HR recruitment specialist by coordinating staff and faculty searches, managing candidate outreach, and guiding each stage of the hiring process.
- Provide broad administrative and academic support, which may include course scheduling, overseeing departmental communications, and coordinating departmental events.
- Bachelor’s degree with 2 years of experience.
- Working knowledge of SUNY and State policies and procedures.
- Familiarity with UB systems (SIRI, Shop Blue, ePTF, UB Jobs, etc.).
Salary Range: $57,151 – $65,000. Benefits are offered to enhance well‑being and success.
LocationDowntown Campus.
