Overview
A Prominent New York-based billion-dollar hedge fund in Midtown Manhattan is seeking an Administrative Assistant to support a 4-5 person team. These are the nicest people – great dynamic and everyone gets along/likes each other! Candidates must have a minimum of 2+ years of applicable administrative experience and a Bachelor’s degree is required. They should be extremely polished and professional, flexible, positive, team-oriented, smart, proactive, detail-oriented, high energy, accustomed to working in a fast-paced environment, and possess excellent interpersonal and communication skills.

- Provide high-level administrative support to a team comprised of 4-5 Investment Professionals and back up coverage to 2 other Administrative team members.
- Schedule and organize extensive internal and external meetings, conference/video calls, and appointments, ensuring each team member is prepared; manage and maintain busy and ever-changing calendars.
- Coordinate domestic and international travel arrangements and detailed itineraries.
- Prepare, process, and submit expense reports.
- Screen and answer phone calls.
- Assist with basic finance research.
- Register Analysts for conferences and help coordinate 1:1 management meetings.
- Minimal personal work for most senior team members may be required, including personal travel, doctor’s appointments, dinner reservations, etc.
- Minimum of 2-4+ years of applicable administrative supporting senior-level executives in fast-paced, demanding environment.
- Bachelor’s degree required.
- Excellent communication skills – phone / email.
- Exceptional organizational and multi-tasking skills.
- True team player.
- Ability to remain calm and composed during demanding periods – “thick skinned” personality with a real sense of urgency.
- Proactive, motivated, “can do” attitude.
- Willingness to go above and beyond; covering some personal tasks.
- Committed, mature and hard-working with interest in growth and longevity with company.
- Proficient in MS Outlook and Microsoft Office Suite.
Salary depends on experience (90-110k+) plus discretionary bonus eligibility, excellent benefit program (medical, dental, vision, and 401k with a day 1 start), catered daily lunch, well-stocked pantry for breakfast and snacks, etc. Hours are 8:00am-5:00pm, with flexibility as needed. Hybrid work schedule (the first 90 days will be 4 days in office / 1 day remote and after 90 days it will be 3 days in office / 2 days remote).
