Position SummaryThe Front Office Administrative Assistant serves as the first point of contact for clients, visitors, and callers, providing a professional and welcoming experience while supporting the daily administrative operations of the law firm. This role requires excellent communication skills, strong attention to detail, discretion with confidential information, and the ability to multitask in a fast-paced legal environment.
Front Office & Client Relations- Greet clients, visitors, and vendors in a courteous and professional manner
- Answer, screen, and route incoming calls; take accurate messages
- Manage front desk reception area to ensure a professional appearance
- Coordinate client appointments and conference room scheduling
- Perform general administrative duties including filing, scanning, copying, and data entry
- Maintain and organize physical and electronic files in accordance with firm procedures
- Assist attorneys and legal staff with administrative tasks as needed
- Handle incoming and outgoing mail, deliveries, and courier services
- Manage calendars, appointments, and meeting logistics
- Prepare meeting rooms and assist with meeting setup when required
- Track and order office supplies and maintain inventory
- Handle sensitive and confidential information with discretion
- Follow firm policies, legal procedures, and ethical guidelines
- Assist with records management and document retention practices
- BA/BS
- Previous administrative or front desk experience (law firm or professional office preferred)
- Strong verbal and written communication skills
- Proficiency in Microsoft Office (Word, Outlook, Excel)
- Excellent organizational skills and attention to detail
- Professional demeanor and customer-service mindset
- Experience in a law firm or legal environment
- Familiarity with legal terminology and document handling
- Experience with legal practice management or document management software
- Ability to multitask and prioritize effectively
- Strong interpersonal skills and teamwork orientation
- Dependability, punctuality, and professionalism
- Ability to work independently and take initiative
- Office-based position in a professional law firm setting
