Overview
This position is responsible for supporting the SVP of Programming in all administrative areas. Key responsibilities include but are not limited to: managing and maintaining SVP’s calendar and schedule; preparing travel arrangements; preparing expense reports; coordinating meetings and schedules; ensuring invoices are approved and submitted. This position interfaces daily with employees and senior executives at Hallmark Media as well as interactions with industry executives, talent and their representatives.
The hourly range for this job is between $29.91 and $39.91. Hourly rate will take into consideration several factors including location.
Responsibilities- Primary contact for SVP to all Hallmark Media teams and departments.
- Maintains daily schedule and calendar, prioritizing both internal and external needs.
- Schedules all travel arrangements including hotel accommodations, airline reservations, and ground transportation, as well as monitoring travel progress (including outside normal business hours).
- Prepares expense reports; reviews and analyzes for compliance expense submissions before submitting for appropriate approvals.
- Undergraduate degree or equivalent executive administrative experience, preferably with Entertainment Industry and that of supporting senior level executives.
- Expert level experience with Microsoft Office suite (Teams, Word, Excel, PowerPoint, Outlook) as well as proficiency with Concur.
- Available to work onsite at our New York office.
- Must have demonstrated ability to be spontaneous, adaptable, resourceful and provide support with efficiency.
- Proven ability to interact with senior executives, industry representatives and vendors with tact, diplomacy and discretion.
- Effective in and comfortable with working in high-demand environments with the ability to maintain accuracy of output, close attention to detail and ability to meet deadlines across multiple projects.
- Must have excellent organization, presentation, and communication skills with the ability to handle sensitive and confidential information.
- Must be flexible in work schedule and be available to support the SVP outside of standard office hours including evenings and weekends.
