Overview

Maintain an extensive floor presence while acting as the point of contact providing high level hospitality and customer services to our client, client guests and vendors, greeting customers and visitors with a high degree of professionalism and courtesy. To also provide an integrated VIP experience-providing a unique mix of guest services, office services and an elevated workplace experience-focused on driving results.

Responsibilities
  • Service Excellence
    :
    Own the floor, ensure everything is working well, report to ops teams, ensure legal and business professionals have appropriate space, connectivity, supplies. Ensure all systems working effectively. Manage all service requests with closed loop approach. Ensure visitors are greeted and provided office services info and key general office information. Anticipate needs and proactively seek opportunities to elevate end‑user experience.
  • Core Functionality
    :
    Utilize Canon devices, office center tools, workstations and applications to complete service requests. Operate advanced features of print properties menu for Adobe Acrobat, Excel, Outlook and Microsoft Word. Complete jobs to individual preference and share preferences regularly for continuity. Answer e‑mails and phone calls with proper professionalism and etiquette. Operate PS Ship in Outlook to create domestic and foreign Fed Ex labels.

    Create white labels for shipping and envelopes of various sizes. Exercise time management, answer e‑mails promptly and complete tasks within appropriate time based on workload. Bind documents in all methods used at office service center. Manage supply demand for assigned floor. Solve minor issues with hardware. Input all requests and task completions in accountability software.
  • Events and Special Projects
    :
    Support assigned floor as needed. Provide operational expertise and consultation best practices to prepare for the event, route requests during event and supplies needed.

    Manage high volume of work with efficiency. Utilize office tools to create or manage system for tracking accountability for all service requests. Juggle competing demands by prioritizing or delegating to available team members. Entrepreneurial and resourceful. Consistently overcomes challenges and leverages resources to creatively solve problems. Propose solutions to issues without much guidance. Proactively ask for help, anticipate problems and course‑correct where needed.

    Attention to detail. Notices and fixes errors that others might overlook. Strong sense of ownership and resilience. Dependability and approachability. Excellent communication skills, oral and written. Proven ability to remain calm under pressure. Good work ethic, sound judgement with good problem‑solving abilities.
  • Customer Service
    :
    Ensures total customer satisfaction through understanding of customer expectations, proactive problem identification/resolution and maximizing opportunities to build relationships. Work with facilities, catering and other vendors when needed. Strong communication skills, oral and written.
  • Mail/Packages/Pouches
    :
    Receive, sort and deliver all incoming mail & packages to assigned floors and within established time frames. Log outgoing and incoming items as required and review for accuracy/completeness.
  • Supplies/Copying/Administration
    :
    Organize and distribute supplies to client employees as detailed in job requests. Verify and log orders upon delivery. Monitor inventory of supplies, stock paper and toner and keep Floor Ambassador offices and copy areas neat and organized. Handle items for distribution to a segment of or all of client employees, affiliates, dealers, etc. Estimate runtime on the small to medium photocopy jobs.

    Check all copies produced for quality and accuracy. Produce bound copies of work when requested. Deliver and pick up copy jobs. May provide minor maintenance of photocopy machine. Prepare weekly production and volume reports in order to measure productivity and prepare billing charges. Provide other administrative services from inserting, copying and photocopying to faxing as needed. Set up and maintain visiting attorneys' offices.
