Role Overview As an Executive Assistant, you will provide dedicated support to the Chief Marketing Officer and Chief Legal Officer, as well as their respective departments and business leaders. We are looking for a strategic partner who is passionate about providing high-level support to C-suite executives, collaborating seamlessly to manage priorities and drive business objectives forward.
Board meeting coordination, liaising with external board members to coordinate schedules, working with the legal team to coordinate board schedule, sending invites, preparing and distributing meeting materials, and handling follow-ups.Compose and prepare correspondence and presentations.Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including sensitive or confidential matters; determine the appropriate course of action, referral, or response.Manage special projects, some with department or business unit impact.Prioritize conflicting needs; handle matters expeditiously and proactively, following through on projects to completion, often under deadline pressure.Maintain discretion and confidentiality in relationships with internal and external clients.Prepare documents and materials, editing for grammar, punctuation, spelling, context, and format, including quick turnaround of PowerPoint presentations.Assist other team members during busy periods and provide coverage in their absence.Manage complex calendars with an emphasis on meeting prioritization.Arrange complex, detailed global travel including itineraries, meeting agendas, and materials. Process expense reports in multiple currencies.Coordinate global multi-party meetings, video calls, and conference calls.Understand event logistics and details, applying initiative to adjust plans as needed.Qualifications:
- 2-5 years supporting C-suite executives with professionalism and discretion.
- Strong organizational and multitasking skills, managing complex calendars and projects.
- Proficiency in MS Office (Word, Outlook, Excel, PowerPoint).
- Exceptional communication and interpersonal skills.
- Problem-solving mindset with sound judgment and proactive decision-making.
- Flexibility, adaptability, confidentiality, and a customer-focused, results-driven approach.
