Overview
Our client is seeking a high-level Executive/Personal Assistant to support the CEO and leadership team while overseeing day-to-day office operations. This role blends executive support, office management, and selective personal assistance, and sits at the center of the firm’s operations. It’s an exciting opportunity to join a fast-paced hedge fund environment that values culture, ownership, and long-term growth. The ideal candidate is proactive, tech-savvy, highly organized, and able to anticipate needs while managing multiple priorities with discretion and sound judgment.
This role is 5x days per week in-office.
Responsibilities- Provide comprehensive executive and personal support to the CEO, including complex calendar management, correspondence, meeting coordination, travel arrangements, and expense reporting.
- Coordinate internal and external meetings, prepare materials and agendas, manage follow-up, and support research-related initiatives, conferences, and events.
- Conduct research and support ad hoc projects, including preparing presentations and synthesizing information under tight deadlines.
- Oversee all office operations, including vendor management, office inventory, IT coordination, onboarding logistics, conference room setup, and guest management.
- Manage technology platforms (Zoom, webinars, virtual/hybrid meetings) to ensure seamless execution.
- Act as a trusted gatekeeper and thought partner, anticipating needs, handling confidential matters, and proactively resolving issues.
- Bachelor’s degree.
- 6+ years of experience as an Executive/Personal Assistant, ideally within finance or a fast-paced professional environment.
- Exceptional written and verbal communication skills.
- Strong Microsoft Office skills; highly tech-savvy.
- Proven ability to handle sensitive and confidential information.
- Extremely organized, detail-oriented, and solutions-oriented.
- Calm, polished, and efficient under pressure.
- Flexible, positive attitude with a “no task too big or too small” mindset.
$125-150K on a base + Discretionary Bonus
