Source Pro Search is partnering with a respected and energetic mid-size law firm in Midtown Manhattan to find a sharp, detail-oriented Assistant Office Manager
. This is an excellent opportunity for someone with a strong foundation in law firm billing, AP/AR
, and office operations who’s ready to step into a key leadership support role.

, and capable of juggling priorities while keeping a calm, professional demeanor. This role offers a collaborative hybrid schedule and an opportunity to truly grow with a firm that values both structure and innovation.

What You’ll Do:
  • Support the Office Manager and Managing Partners with high-level administrative and operational tasks
  • Handle monthly billing
    , including posting client expenses in Timeslips and Quick Books, and preparing LEDES
    1998-compliant client bills
  • Manage accounts payable, receivable, collections, deposits, and trust fund accounts
  • Communicate directly with vendors and monitor invoice status and resolution
  • Oversee expense reimbursements and assist with payroll coordination
  • Help coordinate HR and benefits administration
    , and support onboarding and training of new hires
  • Maintain proper file management systems using File Vine and assist with general office support
  • Generate regular administrative reporting for firm leadership
What You’ll Bring :
  • 3–5 years of law firm or professional services office administration experience
  • Prior hands‑on experience with billing, AP, AR, and collections
  • Tech‑savvy with strong proficiency in Quick Books, Timeslips, Outlook, Word, and Excel
  • Ability to juggle multiple responsibilities
    , work independently, and remain composed under pressure
  • Excellent written and verbal communication skills
  • A team-oriented mindset with a respectful and professional approach when working with all levels of staff and leadership
  • Discretion and trustworthiness in handling confidential data
  • Experience with File Vine
    , HR
    , or benefits is a plus
