We are seeking an experienced and detail-oriented Administrative Support Specialist to join our team. This individual will be one of five team members providing high-level administrative and legal support to attorneys, paralegals, and directors through a centralized ticketing system and in-person assistance. The ideal candidate thrives in a fast-paced environment, is highly organized, possesses advanced Microsoft Word formatting skills, and demonstrates a strong commitment to customer service and teamwork.
Key Responsibilities:
- Edit and format complex legal documents (such as briefs, motions, and complaints) using Microsoft Word, Excel, and Kofax PDF editor, including California line documents.
- Draft initial versions of correspondence, forms, and other documents under attorney supervision.
- Assist with attorney scheduling, calendaring, and coordination of meetings with clients and third parties.
- Coordinate travel arrangements and manage expense accounts.
- Enter billable time for attorneys accurately and efficiently.
- Perform general administrative tasks, including typing, photocopying, scanning, and filing.
- Provide backup reception coverage as part of a rotating schedule and as needed.
- Maintain confidentiality and exercise discretion in all firm matters.
- Attend administrative team meetings and participate in training as required.
Job Requirements:
- Minimum of two years of relevant administrative or legal support experience.
- Advanced proficiency in Microsoft Word, with strong document formatting skills (styles, tables of contents, tables, and troubleshooting).
- Proficiency in Microsoft Office applications, including Excel, PowerPoint, Outlook, and Kofax PDF editor.
- Excellent proofreading and editing skills with strong attention to detail.
- Strong written and verbal communication abilities.
- Proven ability to prioritize tasks, manage multiple deadlines, and work effectively under time constraints.
- Demonstrated ability to work independently as well as collaboratively in a team environment.
- High degree of professionalism, discretion, and sound judgment.
- Positive, proactive attitude with flexibility to handle varied tasks.
