Job Description

The Team Administrative Assistant provides high‑level administrative and operational support to the Technology Senior Leadership Team. This role is critical to ensuring the efficient day‑to‑day functioning of the leadership team through effective coordination, communication, and organization.

The Team Administrative Assistant is responsible for calendar management, travel coordination, expense reconciliation, and event planning. The role will also, on occasion, support the Executive Assistant to the Group CIO with meeting organization and logistics. The ideal candidate is highly organized, proactive, and thrives in a fast‑paced, dynamic environment.

Responsibilities Executive Support & Administration
  • Provide comprehensive administrative support to all members of the Technology Senior Leadership Team
  • Manage complex calendars, including scheduling meetings across multiple time zones and resolving conflicts
  • Assist with the planning and coordination of leadership meetings, management forums, and team events (virtual and in‑person)
  • Prepare and organize materials for meetings, presentations, and leadership engagements
Travel & Expense Management
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries
  • Ensure timely and accurate reconciliation of expenses in line with company policies
  • Obtain appropriate approvals and ensure all travel and expense logistics are handled efficiently to support business priorities
Stakeholder & Team Collaboration
  • Act as a key point of contact between the Technology Senior Leadership Team, the Office of the CIO and internal and external stakeholders
  • Support effective communication and coordination across the wider technology organization
Qualifications
  • 1+ years of experience in an administrative or executive support role, preferably supporting senior leaders
  • Experience working in Financial Services or a fast‑paced corporate environment
  • Demonstrated expertise in complex calendar management across multiple time zones
  • Strong organizational and time‑management skills with high attention to detail
  • Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and ability to handle confidential information
  • Proactive, resourceful, and adaptable, with the ability to manage competing priorities
