Overview
TITLE:
Administrative Assistant
SUPERVISOR:
Program Director & Assistant Director
POSITIONS SUPERVISED: N/A
Provide clerical support to the Program Director and program staff.
Essential Duties and Responsibilities- Must be able to perform duties independently, establishing office efficiency and set priorities to meet deadlines.
- Perform clerical functions, including typing, filing, answering phones and logging mail.
- Process incoming mail and outgoing mail and prepare for the postal service.
- Maintain a systematic and organized file for the program.
- Maintain Contract, personnel, time sheets and sign-in log files.
- Maintain office inventory and other supplies.
- Prepare statistical and financial reports.
- Draft, copy, fax and file memoranda, letters, and other program documents.
- Attend In-service trainings.
- Perform additional duties as assigned by supervisor or director.
- Good Organizational and Interpersonal Skills
- Ability to use a computer for prolonged period.
- Ability to stand, walk, or sit for long periods of time.
- Ability to climb flights of stairs.
- Ability to bend and retrieve objects and/or documents.
- Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
- Ability to travel for a minimum of 1 mile within a reasonable amount of time in all types of weather, including inclement weather.
- High School Diploma or equivalent
- 1-2 years experience
- Great communication skills
- Bilingual English/Spanish speaking strongly preferred.
